Import sales from a CSV file (new and existing sales)

Import a CSV on Reports > Sales with a template. Imports create and update sales; see required columns, errors, history and undo.

Import sales from a CSV file in the Admin view under Reports > Sales: select Import, choose an import template and upload the file. An import creates new sales and also updates existing ones with the same PID. Only the PID and the sale date are required, and reps are matched by email or Flexible ID, not by name.

Who can do this: Admins whose permission group can add sales in Reports > Sales. Undoing an import also needs the permission to delete sales. Your company may have imports turned off. Mortgage companies see Loans instead of Sales.

Import a file

  1. In the Admin view, open Reports > Sales.

  2. On the Customer Info card, select Import.

  3. In CSV Import, choose a template in Excel import template. It's required. (To set one up, see "Import templates" below.)

  4. Upload your file. It must be a .csv file. Excel .xlsx and .xls files aren't accepted, so save your spreadsheet as CSV first.

  5. If Sequifi asks you to Confirm date format, choose the format your file uses and select Confirm & Import.

  6. If some rows have errors, Sequifi says it will skip those sales and process the rest. Select Yes to go ahead, or No to fix the file first.

  7. You'll see "Sales import started. We are processing your CSV in the background. You will receive an email when it is completed."

  8. Check the result in Import History.

What your file needs

  • Required: the PID and the sale date. Customer name, rep and location code are optional.

  • Reps are matched by email (for example Closer 1 Email, Setter 1 Email, Sales Rep 1 Email or MLO Email, depending on your company type) or by Flexible ID. Names aren't used.

  • A rep who was dismissed or terminated on or before the sale date is left off that sale.

  • If a rep's email doesn't match anyone, the sale waits for a match. A Company Admin can open the rep's profile, go to Personal Info and use Add Work Email to add that email. Waiting sales with that email are then linked to the rep.

Imports update existing sales

A row whose PID already exists updates that sale. Import History shows how many rows were New, Updated and Held.

  • Closed sales: an import can change a closed sale unless you set the Closed Sale Import Lock on the Setup page's System Module card. A sale is closed when its final milestone date has arrived and its final commission (or override) has been paid. See Company Setup page tour.

  • Held rows: updates to sales in a payroll are held from the start of finalization until execution completes or the payroll is unfinalized. A finalized, executing or failed payroll can continue to hold updates. See Why are sale updates held while payroll is finalizing?

Import templates

A template tells Sequifi which column in your file holds each Sequifi field.

  1. In CSV Import, select Create a new Template, or open Import Templates and select + New Template.

  2. Name the template and upload a sample CSV.

  3. Select Start Mapping and map each Sequifi field to an Excel field (a column in your file).

In Excel Import Templates, use Download Sample to get a file in a template's layout.

Import History

Import History is on the Customer Info card. Progress shows Queued, Processing, Completed, Failed or Stalled. Use Retry on a failed or stalled import. Other columns include Skipped, Total, New, Updated, Held and Imported By.

Undo an import

Select Undo on the most recent completed import. You can undo it once, and only until payroll pays commission on the new sales. When it works you'll see "Import undone successfully." with the number of PIDs restored.

Emails

The person who imported gets a "Sale CSV Import Confirmation" email (if your company's Email settings allow it) and an email when the import finishes.

On the mobile app

You can't import sales in the mobile app. Use a web browser.

Troubleshooting

Message

What to do

"Please fix key mapping issue first from excel import template setting"

A column in your file isn't mapped. Edit the template and map it.

"Header is mandatory and missing from your import file."

Add the missing column header to your file.

"Field '...' is mandatory and cannot be empty."

Fill in that field on every row.

"Duplicate PID '...'"

The PID appears more than once in the file, so every copy is skipped. Keep one row per PID.

"PID '...' contains a space"

Remove spaces from the PID.

"Invalid date in '...'"

Use yyyy-mm-dd, mm/dd/yyyy, dd/mm/yyyy or "Month DD, YYYY".

"Invalid symbol ... Please remove Excel formulas."

Replace formulas with plain values and save as CSV again.

"Job status is required but was left blank"

Fill in the job status.

"Cancellation date ... is before the sale date"

Fix the cancel date or the sale date.

"Only the most recent import can be undone..."

Undo works only on the latest import.

"This import cannot be undone. No eligible snapshot exists, or undo eligibility has been revoked (e.g. payroll was run after the import)."

Undo is no longer possible. Correct the sales another way, or import a corrected file.

To add one sale by hand, select Add Sales on the Customer Info card.
