Who can hire? Hiring permissions for admins

Which permission-group permissions show Hiring, start a hire, approve offers or hire directly, and how to grant them safely.

Who can hire is set by permission groups, not job titles. A person sees Hiring in the Worker view if their group includes any Hiring page (Hiring Progress, Candidates, Pipeline or Onboarding). To start a hire they also need the hire permission, and approving, hiring directly or offering a bonus each have their own permission. Admins set these in Permissions > Groups in the Admin view.

Who can do this: Company Admins (super admins) and admins whose permission group can edit Permissions > Groups. Company Admins can also change one person's group in User Management.

The Hiring permissions

These are in the worker (Standard) policies of a permission group, because Hiring lives in the Worker view. The names in the group editor may be worded a little differently; the quoted text is the description shown for each hiring permission.

Permission

What it allows

Hiring Progress: view

The Hiring Progress page.

Candidates (Leads): view, add, edit, delete

The Candidates list, Add New and Import, the row menu, and Delete.

Candidate rating

Rate Candidate (your company must also turn on Candidate Rating in Settings > Company > Hiring).

Pipeline: view, add, edit, delete

The Pipeline board and its buckets.

Onboarding: view, add, edit, delete

The Onboarding list, and Delete All Expired / Delete All Rejected.

Hire

"Permissions to initiate the hiring process". Shows Hire New, Hire, Update Offer, Resend Offer and Rehire.

Hire directly

"Permissions to hire someone directly, bypassing all approval limitations". Adds Hire Directly.

Offer reviewer

"Permissions to review the offer letter before it is shared with the recruit".

Special reviewer

"Permissions to review the special conditions before it is shared with the recruit".

Document reviewer

"Permissions to review the completed documents and hire the recruit". Also shows Resend Welcome Email and Background Report.

Offer bonus

"Permissions to offer bonus to the recruit while hiring".

Add manual override

"Permissions to add manual overrides on a candidate during the hiring process".

Referrals is a separate worker permission (view, add, edit). It controls the Referrals page, not Hiring.

Give someone hiring access

  1. Select Admin in the Worker / Admin toggle and open Permissions > Groups.

  2. Edit the person's group, or create a group with New Group.

  3. In the worker (Standard) policies, tick the Hiring permissions they need.

  4. Select Save Changes.

A person gets their group from their position, or a Company Admin sets it in User Management (Permissions Group). Changing a group changes access for everyone in it.

Which people they can act on

Each group also has profile access: which offices (their own office or all offices) and which positions its members can see. This limits whose profiles they can open, for example to use New Contract, Rehire or Update Employment Package on existing workers.

Permissions for existing workers

  • New Contract: its own profile permission, plus profile access.

  • Rehire: the hire permission, plus profile access.

  • Update Employment Package: the update package or transfer permission, plus profile access.

Be careful with your own access

Don't move yourself into another group (for example a Manager group) to get Hiring. You could lose the Admin view and payroll. Add the Hiring permissions to your current group instead. Being marked Is Manager doesn't add Hiring either.

On the mobile app

The app shows More > Hiring (view-only lists) to people whose group includes Hiring. Anyone signed in to the app can refer a candidate with the + button.
