Hiring approvals: offer review, special conditions and document review

Turn on offer, special-condition and document approvals in Settings > Hiring, and approve offers from Hiring > Onboarding.

Your company can require approval at three points in a hire: before any offer is sent (offer review), when an offer matches special conditions (special review), and after the candidate signs, before they're hired (document review). Admins turn these on in Settings > Company > Hiring > Approval Settings. Approvers act from Hiring > Onboarding in the Worker view.

Who can do this: Turning approvals on: admins whose permission group includes the Settings Hiring permission. Approving: people whose permission group includes the offer reviewer, special reviewer or document reviewer permission. People with the hire directly permission can skip approvals.

"Require Approval before any offer is sent to the user"

The hirer sees Submit for Approval instead of Send Offer. The status becomes Offer Review.

An offer reviewer ("Permissions to review the offer letter before it is shared with the recruit") selects Review Offer, then Accept or Reject.

"Require Approval if any specific conditions to match the offer"

Offers that match your conditions go to Special Review.

A special reviewer ("Permissions to review the special conditions before it is shared with the recruit") selects Review Conditions, then Accept or Reject.

"Require Approval for onboarding (to review documents) before recruit is hired"

After the candidate accepts and signs, the hire waits for a reviewer.

A document reviewer ("Permissions to review the completed documents and hire the recruit") selects Review & Hire.

Turn approvals on

  1. Select Admin in the Worker / Admin toggle.

  2. Open Settings > Company > Hiring.

  3. In Approval Settings, turn on the approvals you want.

  4. Select Save Changes.

Special conditions are set up for your company by Sequifi. If you see Send Request next to that setting, describe the conditions you need in "Write requirement" and send it.

Then give the reviewer permissions to the right people: see Who can hire? Hiring permissions for admins.

Approve or reject an offer

  1. Select Worker in the Worker / Admin toggle, then Hiring > Onboarding.

  2. Filter Status by Offer Review or Special Review.

  3. Select Review Offer or Review Conditions on the row, or open the person's onboarding profile.

  4. Check the Employment Package.

  5. Select Accept and confirm "Are you sure want to accept this offer?", or select Reject and write the reason in "Write rejection reason".

Review documents and hire

  1. On Hiring > Onboarding, find the person whose offer is accepted.

  2. When everything required is signed, the row shows Review & Hire. If it shows Offer Letter Accepted, hover over it to see which documents are still unsigned.

  3. Select Review & Hire, check the documents, and complete the hire.

After the hire, the person's status changes to Onboarding and they get their sign-in details by email.

Skipping approvals

People with the hire directly permission ("Permissions to hire someone directly, bypassing all approval limitations") see Hire Directly in Review & Send. Rehires never go through offer approval: the rehire wizard offers Send Offer and Hire Directly only.

On the mobile app

Hiring approvals aren't in the app. Use the web.

Common questions

I selected Submit for Approval and saw "Onboarding Completed". Is the hire done?

No. The offer went to the offer reviewer. It goes to the candidate after it's approved.

Nobody can approve our offers.

Nobody in your company has the reviewer permission. A Company Admin, or an admin who can edit Permissions > Groups, adds it to the right permission group.
