Onboarding statuses explained

What each status on Hiring > Onboarding means, from Draft and Offer Review to Onboarding, and who acts next.

Each person on Hiring > Onboarding has a status that tells you where their offer or onboarding stands and who acts next. Offer statuses (such as Offer Review, Requested Change or Offer Expired) come before the hire. Onboarding means the person is hired and filling in their details; the list also shows the step they're on, or Not Started.

Who can do this: People whose permission group includes Onboarding can see statuses. The buttons next to each status need their own permission (hire, hire directly, offer reviewer, special reviewer or document reviewer).

Before the offer goes out

Draft

Someone started the hire wizard and didn't send it.

Anyone with a hire permission: select Draft to continue.

Offer Review

The offer is waiting for approval before it's sent.

An offer reviewer: Review Offer.

Special Review

The offer matched special conditions your company set, and needs approval.

A special reviewer: Review Conditions. Others see "Conditions Review".

Manager Rejected or Conditions Rejected

The offer was rejected inside your company.

Open the person's onboarding profile to see what happened.

After the offer is sent

Offer Letter Sent (or Offer Sent, Unread)

Sent. The candidate hasn't opened it yet.

Offer Sent, Read

The candidate opened it.

Offer Letter Resent (or Offer Resent, Unread), Offer Resent, Read

You resent it; unread or read.

The candidate.

Requested Change

The candidate selected Suggest Changes.

You: Update Offer or Resend Offer.

Offer Accepted, Docs Pending

The offer letter is accepted, but other required documents aren't signed.

The candidate.

Offer Pending, Docs Completed

Documents are done, but the offer letter isn't accepted yet.

Accepted, Offer Letter Accepted or Document Review

The candidate accepted and signed.

A document reviewer: Review & Hire, once everything required is done. Until then the row may show Offer Letter Accepted: hover over it to see which documents are unsigned.

Offer Expired

The offer expired. The candidate sees "Offer Expired" and can't accept it.

You: Resend Offer, or delete it.

Offer Letter Rejected (Declined)

The candidate selected Reject.

You decide: resend a changed offer, or delete the record.

Admin Rejected

Someone at your company selected Reject on the record.

No one, unless you start again.

After the hire

Onboarding

Hired and filling in their details. The list shows the step (for example Personal Details), or Not Started if they haven't signed in yet.

The new hire. A document reviewer can use Resend Welcome Email.

W-2 onboarding (only at companies that pay W-2 employees through SequiPay on Sequifi)

The W-2 employee finished their forms.

An offer reviewer: Accept. Ask your company admin about this workflow.

Active

Onboarding is finished.

No one.

Status names can differ slightly between companies, as shown in brackets above.

Other things you may see in the list

  • Background Report: a link to the background check report, for document reviewers, when your company uses S-Clearance and the report is ready.

  • Delete in the row menu: shown for drafts, sent, accepted, declined and expired offers.

  • Delete All Expired and Delete All Rejected in the three-dot menu, with the Onboarding delete permission.

  • "No employees found in onboarding": the list is empty for your filters.

On the mobile app

More > Hiring > Onboarding lists people in onboarding with POSITION, OFFICE and MANAGER. Cards also show a status badge. Use the web for the full workflow details and review or hiring actions.
