Hiring is set up in the Admin view at Settings > Company > Hiring. This page holds your ID codes, the Custom Candidate Form and candidate rating, the Approval Settings for offers and onboarding, and the extra fields new workers and admins fill in. The hiring pages themselves (Candidates, Pipeline, Onboarding) are in the Worker view.
Who can do this: Admins whose permission group includes Settings Hiring (view to see, edit to change). The Admin Only Fields card also needs the profile Admin Only Fields permission.
Open the Hiring settings
Select Admin in the Worker / Admin toggle at the top of the page.
Open Settings > Company, then select Hiring in the left pane.
Select Edit on the card you want to change, make your changes and save.
The cards
Hiring Configuration
Set the ID Code and ID Code number to start from, and the Onboarding ID Code and Onboarding ID Code number to start from. Select Save. Once an ID code has been set, it can't be changed here.
Custom Candidate Form
Add your own questions to the candidate form. For each question, choose the Output type and the Condition (optional or mandatory). For a dropdown question, add each Option and tick Scored if the answer should count toward the candidate's rating. Select Add New for another question, then Save Changes.
Turn on Candidate Rating to "Determine candidate quality (based on 5 stars)". Any scored dropdown question adds to the candidate's score.
Approval Settings
Turn on any of these, then select Save Changes:
Require Approval before any offer is sent to the user: an offer reviewer must approve each offer before it's sent.
Require Approval if any specific conditions to match the offer: offers that meet your conditions need a special review. If you see Send Request, use it to describe the conditions you need in Write requirement.
Require Approval for onboarding (to review documents) before recruit is hired: a document reviewer checks the new hire's documents before they're hired.
These settings decide when a hirer sees Submit for Approval and when reviewers see Review Offer, Review Conditions and Review & Hire. Reviewers need the matching permission in their group. See Hiring approvals.
Employee Additional Personal Details
Extra fields every new worker fills in during onboarding. For each field, add a description, choose the Output (Text, Number, Date, Phone Number or Dropdown) and the Condition (Optional or Mandatory), and add options for a dropdown. These fields show on the worker's profile under Additional Information.
Admin Only Fields
Fields only admins fill in and see. They add an Additional Information step to the hire wizard. When you save, you'll see "Admin Only Fields updated successfully".
