Who Can Hire Leads
Hiring leads requires manager or admin access. Individual reps can submit referrals, but the actual hiring process is typically handled by managers or HR administrators.
Step-by-Step Walkthrough
Starting the Hiring Process
There are two ways to begin hiring:
Option 1: From an Existing Lead
Go to "Hiring" in the left-hand menu.
Click on "Leads." This shows all submitted leads.
Find the lead you want to hire.
Click the three dots menu on the right side.
Select "Hire." The system pulls in the lead's existing information.
Click "Proceed" or continue to the hiring workflow.
Option 2: Hiring Someone New (No Existing Lead)
Go to "Hiring" in the left-hand menu.
Click on "Onboard Employees."
Click "Hire New" in the upper right corner.
Enter the new hire's basic information:
First name
Last name
Email address
Phone number
Continue to the hiring workflow.
Step 1: Verify Basic Information
Review the candidate's details. Confirm their name, email, and phone number are correct.
Select the office location. Choose which office this person will be assigned to.
Select the state (if applicable). This may affect commission structures.
Click "Save and Continue."
Step 2: Set Up Organization
Select the department. Choose the appropriate department:
Sales (typically for 1099 contractors)
Management (typically for corporate or W-2 roles)
Select the position. Choose their specific role:
Sales Rep
Setter
Closer
Sales Manager
Other positions your company uses
Check if they will be a manager (if applicable). If they're being hired as a manager, check the box and select which office they'll manage.
Select their manager. Choose who this person will report to.
Select their team (if applicable). If the office has multiple teams, assign them to one.
Select the recruiter. This is the person who brought them in. It may be pre-filled if they were submitted as a lead.
Add additional recruiters (if applicable). Some structures allow multiple recruiters.
Click "Save and Continue."
Step 3: Set Up Commissions
Enter the base commission percentage. This is their primary commission rate.
Select how commissions are calculated. Options may include:
Shift on location (rates vary by location)
Shift on product (rates vary by product)
Both location and product
Fixed pay (same rate regardless)
Set product-specific commissions (if applicable). If your company sells multiple products, enter the commission rate for each one.
Set upfront pay amounts (if applicable). If the rep receives pay at time of sale (before completion), enter those amounts.
Set override percentages (if applicable). If this position earns overrides, configure those rates.
Review tier structures (if applicable). If commission rates change based on performance tiers, configure those.
Click "Save and Continue."
Step 4: Set Agreement Terms
Select a probationary period (if applicable). If your company has a probationary period for new hires:
Select the length (30 days, 60 days, 90 days, etc.)
Or select "None" if there's no probation
Add a hiring bonus (if applicable). If you're offering a signing bonus:
Check the box to include a bonus
Enter the bonus amount
Select when it will be paid (immediately, after 30 days, etc.)
Select the agreement period.
Start Date Choose when this agreement begins. Note that you cannot select a date in the past.
End Date If your company uses term agreements:
Select when the agreement ends (typically one year from start)
Leave blank for indefinite agreements
Set the offer expiry date. This is how long the candidate has to accept the offer. For example, you might give them one week.
Click "Save and Continue."
Step 5: Select Documents
Review the documents that will be sent. Standard documents typically include:
Rep agreement
W-9 tax form
Background check authorization (if applicable)
Add any additional documents. If there are addendums or special agreements for this hire, select them.
Remove documents if needed. If certain documents don't apply, you may be able to exclude them.
Click "Save and Continue."
Step 6: Review and Send Offer
Review all the information you've entered. The system shows a summary of:
Personal details
Organization (position, manager, office)
Commission structure
Agreement terms
Documents to be sent
Verify everything is correct. Double-check names, rates, and dates.
Enter your name as the recruiter or manager. This acknowledges you're submitting this hire.
Check the acknowledgment box. Confirm that all information is correct.
Choose how to proceed:
Send Offer This sends an email to the candidate with their offer. They'll need to log in, review, and sign documents to complete onboarding. This is the standard process.
Hire Directly This bypasses the offer letter and document signing process, immediately creating the user in the system. Use this only in special circumstances where documents have been handled separately.
Click "Send Offer."
Confirm the offer was sent. You should see a success message in the upper right corner.
After Sending the Offer
Once the offer is sent:
The candidate receives an email. The email contains instructions to review and accept their offer.
They're removed from the Leads tab. The candidate now appears in "Onboarding Employees."
They complete the onboarding workflow. The candidate logs in and:
Reviews their offer
Signs required documents
Enters personal information
Sets up banking and tax info
You can track their progress. Go to "Hiring" then "Onboarding Employees" to see where they are in the process.
Once complete, they become an active user. They can log in to Sequifi and start working.
Tips and Common Mistakes
Double-check commission rates. Incorrect rates cause pay issues and require corrections later.
Verify the manager assignment. This affects reporting and override structures.
Use accurate email addresses. The offer email goes to the address you entered. Typos mean the candidate won't receive it.
Set reasonable offer expiry dates. Give candidates enough time to review but not so long that you lose momentum.
Communicate with the candidate. Let them know to expect the offer email and what they need to do.
Follow up if they don't complete onboarding. Check the Onboarding Employees list and reach out if someone is stuck.
Don't use "Hire Directly" unless necessary. The normal offer process ensures all documents are signed and information is collected properly.
Review before sending. Take time on the review screen. It's easier to fix mistakes before sending than after.
Common Questions
What if the candidate doesn't receive the email? Check that you entered the correct email address. Ask them to check spam folders. You may be able to resend the offer from the Onboarding Employees section.
Can I edit an offer after sending it? This depends on your system configuration. Contact your admin if you need to make changes to a sent offer.
What happens if the offer expires? The candidate won't be able to accept it. You may need to resend a new offer with a new expiry date.
How long does onboarding take? It depends on the candidate. Some complete it in minutes, others take days. Follow up with those who haven't completed promptly.
What if I made a mistake in the commission structure? If caught before the offer is accepted, you may be able to cancel and resend. If they've already accepted, you'll need to update their employment package after hiring.
Can I hire someone without sending documents? The "Hire Directly" option bypasses the document workflow, but this isn't recommended unless documents are handled through another process.
