How to Hire a New Lead

Introduction

In this guide, you'll learn how to bring new team members into Sequifi—whether you're hiring someone brand new or converting an existing lead into an employee. By the end, you'll know how to set up compensation, agreements, and send offer letters so your new hires can get started.

When to Use This

  • Hiring a new employee from scratch – You have a candidate ready to go and need to set them up in the system

  • Converting a lead to an employee – You've already captured someone as a lead and want to move them to your payroll

  • Setting up sales commissions – You need to configure pay structures for sales roles

  • Creating offer letters – You're ready to formally offer a position and need the candidate to sign off


Step-by-Step Walkthrough

Method 1: Hire a New Employee Directly

Step 1: Go to the Hiring Tab
Navigate to the hiring section in Sequifi and look for the "Onboard Employees" option on the left side.

Step 2: Click "Hire New"
This will start the onboarding workflow from start to finish.

Step 3: Enter Candidate Information
Fill in the candidate's:

  • Full name

  • Email address

  • Phone number

Once entered, click Save and Continue.


Method 2: Convert an Existing Lead to an Employee

Step 1: Go to the Leads Tab
In the hiring section, select the "Leads" sub-tab to see candidates you've already added to the system.

Step 2: Find Your Lead
Look for the candidate you want to hire. Click the three-dot menu on the right side of their name.

Step 3: Select "Hire"
Choose "Hire" from the dropdown menu. Sequifi will automatically pull in all the information you've already collected about this lead.

Step 4: Choose an Office Location
Select where this employee will be based. If an office already exists in that location, click Save and Continue.


Configuring the Hire (Both Methods Continue Here)

Step 5: Set Department and Position
Choose the employee's department (for example, "Sales"). Then select their specific position from the dropdown.

Step 6: Assign Manager and Team

  • Select who this person reports to

  • Assign them to a team if applicable

  • If you're hiring a manager, you can also assign office locations they'll oversee

Note: This creates your organizational hierarchy from top to bottom, so it's important to get it right.

Step 7: Assign a Recruiter
Select the primary recruiter responsible for this hire. You can also add additional recruiters if needed.

Click Save and Continue.


Step 8: Set Up Compensation (for Sales Roles)

If this is a sales position, you'll configure their pay structure:

  • Commission package – Enter percentages or revenue targets

  • Commission type – Choose whether commission is based on:

    • Location

    • Specific product they're selling

    • Both location and product

    • Fixed pay (no commission)

  • Comp structures for products – If your company sells multiple products (roofing, pest control, solar, etc.), set the commission structure for each

  • Upfront pay – If applicable, add any upfront payment amounts

Click Save and Continue.


Step 9: Configure Agreement Terms

This section sets the formal terms of employment:

  • Probationary period – Does this role have a trial period? Select the length, or choose "None" if there isn't one

  • Hiring bonus – If you're offering a signing bonus (for example, $5,000), add the amount and the date it will be paid out

  • Agreement period – When does this employment agreement end?

    • Select a specific date if you rehire annually (for example, "2026")

    • Leave blank if this is an indefinite, ongoing position

  • Offer expiry date – When does this job offer expire? (For example, "2 weeks from now")

Click Save and Continue.


Step 10: Review the Information

A summary screen will appear with all the details you've entered. Review everything carefully.

Check the box: "I hereby acknowledge that all the information is correct."


Step 11: Send the Offer (or Hire Directly)

You have two options:

Option A: Send Offer Letter (Recommended for most hires)

  • Click Send Offer

  • The candidate will receive an email with an offer letter

  • They'll need to sign their employment agreement, complete a background check, and submit a W-9 form

  • Once complete, they'll automatically receive login credentials for Sequifi

  • This is the safest approach because it documents their agreement

Option B: Hire Directly

  • Click Hire Directly to bypass the offer letter process

  • The employee will immediately get credentials to access Sequifi

  • Use this only if you've already handled agreements offline


Step 12: Confirm the Offer Was Sent

After clicking Send Offer, you'll see a confirmation message in the upper right corner saying "Offer letter was sent successfully."

The candidate will no longer appear in the Leads tab. Instead, you'll find them in the Onboarding Employees tab, where you can track their progress through the onboarding workflow.


Tips and Common Mistakes

  • Don't skip the manager assignment – This is crucial for building your organizational structure

  • Double-check compensation before sending – Once the offer goes out, changes may require a new offer letter

  • Use "Send Offer" for documentation – It creates a paper trail and ensures candidates formally agree to terms

  • Set realistic offer expiry dates – Give candidates time to review and respond (typically 1–2 weeks)

  • If hiring a manager – Make sure to assign the office locations they'll oversee; this won't appear unless you select the "Manager" option

  • Agreement period matters – If you rehire annually, set an end date; if ongoing, leave it blank
