General Questions

What is Sequifi?

Sequifi is a commission automation, payroll, and workforce management platform built for commission-heavy industries. It helps businesses automate complex pay structures, onboard reps at scale, and gain real-time visibility into performance, all in one system.

Who is Sequifi for?

Sequifi serves home-service and sales-driven industries including solar, roofing, pest control, HVAC, turf, security, insurance, mortgage, fiber, and more. Whether you have 20 reps or 2,000+, Sequifi scales with your team.

What problems does Sequifi solve?

Is Sequifi cloud-based?

Getting Started

How do I log in to Sequifi?

Go to the Sequifi login page, enter your username (typically your email address) and password, then click "Sign In." If you're logging in for the first time, use the temporary password from your welcome email and you'll be prompted to create a new password.

I forgot my password. How do I reset it?

Click the "Forgot Password" link on the login page, enter your email address, and click submit. You'll receive an email with a link to reset your password. Check your spam folder if you don't see it within a few minutes.

How long does it take to get started with Sequifi?

Typical onboarding is 4-6 weeks depending on team size and complexity. Smaller teams can launch in as little as two weeks.

Will I need training to use Sequifi?

Sequifi is designed with reps in mind. Most reps complete onboarding in under 15 minutes and can access everything from their portal or mobile device. Managers and admins may benefit from additional training on advanced features.

What's included in the onboarding process?

During onboarding, your team structure (roles, territories, comp plans) is imported, payout logic is configured, and your branded portal is set up. Reps and admins can then onboard, sign documents, and track performance from day one.


Roles and Access

What's the difference between a Rep, Manager, and Admin?

Reps can view their personal earnings, sales, pending pay, and documents. They can submit referrals and payment requests.

Managers have everything reps have, plus visibility into their team's performance, the ability to manage leads and hiring, and access to team reports.

Admins have full system access including company-wide reports, payroll processing, user management, system configuration, and all hiring and onboarding capabilities.

How do I switch between Rep view and Admin view?

If you have admin access, look for "Switch to Admin" in the upper right corner of your screen. Click it to access admin features. Click "Switch to User" to return to the rep view.

Can I have different permission levels for different managers?

Yes, Sequifi allows role-based permissions. Admins can configure what each manager can see and do based on their responsibilities.


Pay and Earnings

How do I view my pay stubs?

Go to "Reports" in the left-hand menu, then click "Past Pay Stubs." Select the financial year to see all your pay stubs for that period. Click on any pay period to see the detailed breakdown.

What's the difference between pay stubs and one-time payments?

Pay stubs show your regular commission payouts processed during standard payroll periods. One-time payments are special payments like draws, advances, bonuses, or reimbursements that were processed separately.

How do I check what I'll be paid next?

Go to "My Earnings" in the left-hand menu, then click "Pending Pay." This shows a preview of your upcoming paycheck, including commissions, overrides, adjustments, and deductions.

Why is my pending pay different from my final pay stub?

Pending pay is a projection based on current data. Final pay may differ if accounts are updated, clawbacks occur, adjustments are made, or additional items are added before payroll is finalized.

How fast are payouts?

Sequifi enables same-day payouts once jobs are approved or closed, depending on your company's configuration and payroll schedule.

What is a clawback?

A clawback is when commission paid on an account is reversed, usually because the account was canceled or didn't meet completion requirements. The clawback amount is deducted from future pay.

What is a draw or advance?

A draw is a regular payment given during periods when commission earnings may be low, such as training or ramp-up periods. An advance is a one-time lump sum given before you've earned it. Both are repaid from future commissions.


Commissions and Overrides

How are my commissions calculated?

Commissions are calculated based on your position, commission structure, the products you sell, and the location of the sale. Your specific rates are visible in your profile under the "Commissions" tab.

What are overrides?

Overrides are earnings you receive based on other people's sales. If you're a manager or recruiter, you may earn a percentage of sales made by reps in your downline. Override types include direct, indirect, office, recruiting, and manual overrides.

When do commissions get paid?

Commissions are paid when specific milestones are reached, such as M1 (first milestone, often at sale), M2 (second milestone, often at installation), or service completion. Your company's pay schedule determines when these appear on your paycheck.

Why didn't I receive commission on a sale?

Common reasons include: the account hasn't reached the required milestone yet, the account was canceled, there's missing information on the account, or there's an issue with how the account was entered. Check the account details or contact your manager for clarification.


Sales and Accounts

How do I view my sales?

Go to "My Earnings" in the left-hand menu, then click "My Sales." You'll see all your accounts with details about status, earnings, and milestones.

What do the different account statuses mean?

Sold means the contract is signed but work hasn't started. Pending means the account is in progress. Installed/Complete means the work is done and eligible for final payment. Canceled means the account was canceled and may result in clawbacks. Clawback means commission is being reversed.

What is a PID?

PID stands for Proposal ID or Project ID. It's the unique identifier for each account in Sequifi. Use it when referencing specific accounts or troubleshooting issues.

How do I see details about a specific account?

In any sales report, click on the PID number to open the full account details. You'll see customer information, job details, milestone dates, worker assignments, and commission breakdowns.


Payroll (Admin)

How do I run payroll?

Go to "Payroll" in the left-hand menu. Review the list of reps with pending pay, check for any issues (negative amounts, missing information), make adjustments as needed, then click "Finalize Payroll" to process payments.

What should I do with negative payroll amounts?

Negative amounts typically occur when clawbacks exceed new earnings. Most companies move negative amounts to the next payroll period using the "Move to Next Payroll" option, allowing the rep time to earn positive commissions.

How do I add a manual adjustment to someone's pay?

In the payroll view, find the rep and look for custom fields or adjustment columns. Double-click to enter an amount (positive for payment, negative for deduction) and add a comment explaining the adjustment.

Can Sequifi replace my payroll provider?

Yes. Sequifi handles contractor payouts, employee payroll, and commission structures in one system, replacing the need for separate vendors.

Does Sequifi handle tax documents?

Yes. Sequifi automates W-2s, 1099s, and other compliance documents.

Is payroll compliant?

Yes. Sequifi ensures speed and compliance. All tax forms are handled automatically, and payout records are fully auditable.


Hiring and Onboarding

How do I submit a referral?

Go to "Referrals" in the left-hand menu, click "Add New," enter the lead's information, and click "Submit." You can also use your personalized QR code to let leads submit their own information.

How do I hire someone?

Go to "Hiring," then "Leads," find the person you want to hire, click the three dots menu, and select "Hire." Follow the workflow to set up their position, commission structure, and agreement terms, then send the offer.

What happens after I send an offer?

The candidate receives an email with instructions to review their offer, sign documents, and complete their profile (personal info, tax info, banking). Once complete, they become an active user in Sequifi.

How do I check if someone completed their onboarding?

Go to "Hiring," then "Onboarding Employees." You'll see everyone who has been sent an offer and their progress through the onboarding steps.

What's the difference between hiring and resigning a rep?

Hiring is for new people who don't have a Sequifi account. Resigning is for existing reps who need a new contract, such as during annual renewals or promotions. Resigning skips the full onboarding workflow since their profile already exists.


Documents

Where can I find documents I've signed?

Go to your profile by clicking your initials in the upper right corner, select "View Profile," then click the "Documents" tab. All your signed documents are stored there.


How do I sign a document?

Click on the document to open it, review the contents, click on the signature area when prompted, create your electronic signature, and submit. The signed document is stored automatically.

Are electronic signatures legally valid?

Yes. Electronic signatures are legally binding under federal and state laws, including the ESIGN Act and UETA.


Profile and Settings

How do I update my personal information?

Click your initials in the upper right corner, select "View Profile," then edit the fields you need to change (address, phone number, emergency contact, etc.). Click "Save" when done.

How do I update my banking information?

Go to your profile, click the "Banking" tab, click "Edit," enter your new bank name, routing number, account number, and account type, then save. Double-check all numbers for accuracy.

How do I change my tax information?

Go to your profile, click the "Tax Info" tab, click "Edit," and update your information. For individuals, enter your SSN. For business entities, enter your business name, type, and EIN.

Can I change my own position or manager?

No. Organizational changes like position, manager, and office assignment must be made by an admin through the employment package settings.


Requests and Approvals

How do I request an advance or reimbursement?

Go to "Requests & Approvals" in the left-hand menu, click "Request," select the type (advance, reimbursement, draw, bonus, or payroll dispute), fill in the details, attach documentation if needed, and submit.

How do I check the status of my request?

Go to "Requests & Approvals" and look at the "My Requests" tab. Each request shows its current status: Pending, Approved, Declined, Scheduled, or Paid.

What do the request statuses mean?

Pending means it's waiting for review. Approved means it's been accepted and will be paid. Declined means it wasn't approved. Scheduled means it's been assigned to a specific payroll. Paid means the payment has been processed.


Reports and Data

What reports are available?

Depending on your role, you can access company reports, sales reports, payroll reports, pending service accounts, clawbacks, and reconciliations. Admins have access to all reports, while reps can see their personal data.

How do I export data from Sequifi?

Most reports have an "Export" button. Click it to download the data as an Excel or CSV file. Filter your data before exporting to get exactly what you need.

Can I see reports for my team?

Managers can see reports for their team through the Management section and Reports tab. The data visible depends on your role and permissions.


Integrations and Technical

What integrations does Sequifi support?

Sequifi connects with major CRM, FSM, and accounting systems. Popular integrations include Salesforce, JobNimbus, PestPac, QuickBooks, ServiceTitan, and more.

Does Sequifi offer an API?

Security and Compliance

How secure is Sequifi?

Who can see my personal information?

Your personal information is visible to you and to admins who manage your account. Sensitive information like SSN and bank account numbers is protected and only partially visible for verification purposes.


Troubleshooting

I can't log in. What should I do?

First, verify you're using the correct email address. Try resetting your password using the "Forgot Password" link. Check for typos and ensure caps lock is off. If you still can't log in, contact your manager or admin.

My pay seems incorrect. What should I do?

First, review your pay stub and pending pay to understand the breakdown. Check if there were clawbacks, deductions, or adjustments. If you still believe there's an error, submit a payroll dispute through Requests & Approvals with specific details about what seems wrong.

I don't see a feature I'm supposed to have access to.

Your access depends on your role and permissions. If you believe you should have access to something you can't see, contact your manager or admin to verify your permissions.

My banking information was entered wrong and I didn't receive my pay.

Contact your admin immediately. Update your banking information in your profile and verify it's correct. Your admin can help investigate the failed payment and arrange for reprocessing.

An account is missing from my sales.

Check your filters to make sure you're viewing the correct date range. Verify the account was entered correctly with you assigned as the rep. If it's still missing, contact your manager to check if the account exists in the system.
