Key Terms & Concepts

Before diving deeper into Sequifi, it helps to understand the common terms and concepts you'll see throughout the platform.

When to Use This

  • You're new to Sequifi and want to understand what certain words mean

  • You see a term on your dashboard or in a report and aren't sure what it refers to

  • You want a quick reference guide to look back on as you learn the system

General Terms

Dashboard Your home screen when you log in to Sequifi. It shows a snapshot of your sales, earnings, and performance at a glance.

Admin View A special view available only to admins that shows company-wide data instead of just your personal information. Admins can switch between their personal view and admin view using the "Switch to Admin" button in the upper right corner.

User Management The section where admins can view, edit, and manage all users in the system. This is where you go to update someone's information, suspend access, or stop payroll.

Pipeline A visual way to track where things stand in a process. In Sequifi, you'll see pipelines for both sales (tracking account statuses) and hiring (tracking where leads are in the interview and onboarding process).

Earnings & Pay Terms

Commissions The money you earn from your personal sales. Your commission is usually calculated as a percentage of the account value or a fixed amount per sale, depending on your comp structure.

Overrides Additional earnings you receive based on the sales of others, usually people you manage or recruited. There are different types of overrides, including direct overrides, indirect overrides, office overrides, and manual overrides.

Direct Override An override you earn on sales made by reps who report directly to you.

Indirect Override An override you earn on sales made by reps further down in your organization, not just your direct reports.

Office Override An override tied to the overall performance of an office or location.

Manual Override An override that is added manually by an admin, outside of the normal override structure. This might be used for special situations or one-time arrangements.

Net Pay The total amount you receive after all deductions, adjustments, and clawbacks have been applied. This is the actual amount deposited into your bank account.

Gross Pay Your total earnings before any deductions or adjustments are taken out.

Pending Pay Earnings that are coming to you on your next paycheck but haven't been paid out yet. You can view this in the My Earnings tab to get a preview of your upcoming pay.

Pay Stub A detailed breakdown of a single paycheck, showing your commissions, overrides, deductions, adjustments, and net pay. You can view past pay stubs in the Reports tab.

One-Time Payment A payment made outside of regular payroll, such as a draw, bonus, or reimbursement. These are tracked separately from your regular pay stubs.

Draw An advance on future earnings. If you request a draw, you receive money now, and it is typically paid back through deductions from future paychecks.

Advance Similar to a draw, an advance is money given to you before you've earned it. Advances are often repaid through future payroll deductions.

Reimbursement Money paid back to you for expenses you covered out of pocket, such as travel costs, rental cars, or supplies. You can submit reimbursement requests through the Requests & Approvals tab.

Deduction An amount subtracted from your pay. Deductions can include repayments for draws or advances, clawbacks, or other adjustments.

Adjustment A change made to your pay, either adding or subtracting an amount. Adjustments might be used to correct errors or apply bonuses.

Sales & Account Terms

PID (Proposal ID or Prospect ID) A unique identification number assigned to each account or customer in Sequifi. You'll see this number throughout the system when viewing sales, reports, and account details.

Account A customer or sale in the system. Each account has a PID, customer name, status, and other details attached to it.

Account Status Where an account stands in the sales and service process. Common statuses include pending, sold, installed, serviced, and canceled.

Pending An account that has been sold but hasn't been fully completed or serviced yet.

Installed / Serviced An account that has been fully completed. Depending on your industry, this might mean the product was installed, the service was delivered, or the job was finished.

Canceled An account that was sold but later fell through and did not complete. Canceled accounts often result in clawbacks.

Clawback When commissions or overrides that were already paid out are taken back because an account canceled or didn't complete. Clawbacks are deducted from future pay.

Gross Account Value (GAV) The total value of an account before any costs or deductions. This is often used to calculate commissions.

Kilowatts (kW) A unit of measurement used in solar sales to describe the size of a system. If you work in solar, you'll see kilowatt values attached to accounts.

Service Ratio / Install Ratio A percentage showing how many of your sold accounts have actually been installed or serviced. A higher ratio means more of your sales are completing successfully.

M1 / M2 (Milestone 1 / Milestone 2) Payment milestones tied to account progress. M1 is typically the first payment made when an account reaches a certain stage, and M2 is a second payment made when the account reaches another stage, such as final completion.

Initial Service / Final Service Terms used to describe when service begins on an account (initial) and when it is fully completed (final). Pay is often tied to these milestones.

Projected Earnings An estimate of how much you will earn from accounts that are still in your pipeline but haven't been paid out yet. Projected amounts are shown in light blue in Sequifi.

Upfront Pay Commission paid to you when an account is sold, before it is fully installed or serviced. Some comp structures pay a portion upfront and the rest at completion.

Hiring & Onboarding Terms

Lead A potential new hire who has been submitted through the Referrals or Hiring tab but hasn't been hired yet.

Referral A lead that you personally submitted. When you refer someone, you're recommending them as a potential new hire.

Pipeline (Hiring) A visual board showing where each lead is in the hiring process. Leads move through buckets like "New Lead," "First Interview," "Manager Approval," and "Hired."

Bucket A stage in the hiring pipeline. You can drag leads from one bucket to the next as they progress through the hiring process.

Onboarding The process a new hire goes through after accepting an offer. This includes filling out personal information, entering tax and banking details, and signing required documents.

Offer Letter The document sent to a lead when you decide to hire them. It outlines the terms of their employment, including their position, commission structure, and agreement period.

Rep Agreement The formal contract between the company and the sales rep. It includes details about commissions, overrides, and the terms of employment.

Probationary Period A trial period at the beginning of employment. During this time, the rep may have different terms or requirements before becoming a full team member.

Hire Directly An option that skips the normal onboarding workflow and immediately adds the rep to the system. This is typically used in special circumstances.

Resign (Resigning a Rep) Creating a new contract for an existing rep without making them go through the full onboarding process again. This is often done during annual renewals or when updating someone's agreement.

Organization & Structure Terms

Department A category that groups users by their type of work. Common departments include Sales (for 1099 contractors) and Management (for W-2 employees or corporate roles).

Position A specific role within a department, such as Sales Rep, Setter, Closer, Sales Manager, or Regional Manager. Positions determine commission structures and override eligibility.

Office / Location A physical or organizational grouping of reps and managers. Offices are used to track performance by region or market.

Manager The person a rep reports to. Managers can view their team's performance, approve requests, and handle hiring for their office.

Recruiter The person who referred or brought a rep into the company. Recruiters may earn recruiting overrides on the sales of people they brought in.

Org Chart A visual diagram showing the reporting structure of your organization. You can view your org chart in your profile to see who you report to and who reports to you.

Hierarchy The structure of who reports to whom in the organization. Sequifi uses this hierarchy to calculate overrides and determine reporting relationships.

Network The group of people connected to you in the system, including those you've recruited and those in your downline.

Downline The reps who are below you in the organizational hierarchy. If you recruited someone, or if someone you recruited later recruits others, those people are part of your downline.

Payroll & Admin Terms

Payroll Period The date range covered by a single paycheck. For example, a weekly payroll period might cover Monday through Sunday.

Finalize Payroll The action an admin takes to complete a payroll period and send payments to all reps. Once payroll is finalized, the amounts are locked in.

Negative Amount When a rep owes more in clawbacks or deductions than they earned in commissions. Admins can move negative amounts to the next payroll period.

Suspend Access Removing a user's ability to log in to Sequifi without deleting them from the system. The user can still receive pay if payroll is active.

Stop Payroll Pausing payments to a user while you reconcile their account or resolve issues. The user remains in the system but won't receive pay until payroll is restarted.

Terminate Completely removing a user from the system. This is rarely used because it can cause issues with accounts attached to that rep.

Reconciliation The process of reviewing and adjusting accounts to ensure all payments, clawbacks, and balances are accurate.

Custom Payroll Field An extra field added to payroll for tracking specific items like travel expenses or bonuses. Admins can create custom fields in Settings.
