Export File Tips

Organizing Exported Files

Use descriptive file names:

  • "Sales_Report_January_2025.xlsx"

  • "Payroll_Q4_2024.xlsx"

  • "Team_Performance_Weekly_12-15-2025.xlsx"

Create folders:

  • Organize by report type

  • Organize by time period

  • Keep related exports together

Add dates:

  • Include export date in file name

  • Helps track when data was pulled

Working with Large Exports

If Excel is slow:

  • Filter data before exporting to reduce size

  • Export in smaller chunks (by month instead of year)

  • Use Excel's filter feature to work with subsets

If data seems incomplete:

  • Check your filters before exporting

  • Verify you're not limiting results unintentionally

  • Try exporting without filters to see full data

Tips and Common Mistakes

  • Filter before exporting. Export only the data you need rather than everything.

  • Check your filters. Make sure filters are set correctly before exporting to avoid missing data.

  • Use consistent naming. Develop a naming convention so you can find files later.

  • Keep exports organized. Create folders for different report types and time periods.

  • Verify data after exporting. Spot-check to ensure the export matches what you saw on screen.

  • Be mindful of sensitive data. Exported files contain real data. Handle them appropriately.

  • Save working copies. If you modify exported data, keep the original export as a reference.

  • Note the export date. Data changes over time. Know when your export was created.

Common Questions

What format are exports in? Most exports are Excel (.xlsx) or CSV files that open in any spreadsheet application.

Can I export data I don't have access to view? No, you can only export data you have permission to see. Admins have the broadest access.

Is there a limit to how much I can export? Practical limits depend on your data volume. Very large exports may take longer to generate.

Can I schedule automatic exports? Standard Sequifi doesn't have scheduled exports. You'll need to manually export when needed.

Why is my export missing data? Check your filters. Data outside your filter criteria won't be included in the export.

Can I export to PDF? Most exports are Excel or CSV. For PDF reports, you may need to export to Excel and then save as PDF.

Who can see what I export? Exports download to your computer. What you do with the file after that is up to you.
