Offboarding a worker

There is no Terminate button on the web. Offboard with Suspend Access, Stop Payroll, Do Not Pay and Disable User, and what you can't do.

There is no Terminate button in the Sequifi web app. To offboard a worker, use what the web app offers: Suspend Access to cut off their access, Stop Payroll if you need to hold their pay, and Disable User to mark them disabled. Then settle their last pay in Run Payroll. The worker's profile, sales and pay history stay in Sequifi.

Who can do this:Suspend Access and Stop Payroll are for Company Admins (super admins) only. Disable User needs access to the worker's profile plus the Profile > Organisation > Dismiss Users permission. Settling pay needs the relevant Payroll > Run Payroll & Approvals permissions; Do Not Pay requires Edit.

Offboard a worker

  1. Open the worker's profile. In the Admin view, select your company's name at the bottom of the menu, then User Management, and select the worker. Or use Management > Personnel in the Worker view.

  2. Cut off access. Select Suspend Access, then Yes. This restricts their access to Sequifi but doesn't change their pay.

  3. Decide about pay they are still owed. If nothing changes, their sales keep paying on your normal schedule. To hold all of their pay, select Stop Payroll, then Yes. Their amounts then move to the next pay period every time you execute payroll, until someone selects Start Payroll.

  4. Apply approved payroll decisions. In Payroll > Run-Payroll, select those rows and choose Do Not Pay. Do Not Pay amounts are never paid and never clawed back.

  5. Mark them disabled. Select Disable User, then Yes. They show a Disabled badge from today.

If you see "Cannot change payroll status: employee has a payroll currently in finalize state.", Stop Payroll and Start Payroll are blocked by a payroll that is finalizing, finalized, executing or failed. Ask the payroll owner to resolve that payroll safely before changing the worker's payroll status.

After they leave

  • Cancelled sales still claw back. If one of their sales gets a cancel date, pay they received on it is clawed back as a negative Commission or Overrides amount in a regular payroll, subject to the product clawback rules. See How clawbacks work.

  • Negative pay can block payroll. If a clawback pushes their net pay below zero, you can't finalize payroll until you fix it: move the row to the next payroll, add an adjustment, or mark it Do Not Pay.

  • Their sales stay with the office they were in. Reports always show each sale under the office the worker was in on the sale date.

What you can't do in the web app

  • You can't terminate a worker or set a last working day. There is no Terminate button.

  • The web app cannot mark a worker Terminated. Contact support@sequifi.com to discuss your options.

  • Offboarding doesn't delete anyone. None of these controls removes the worker's record.

  • Rehire appears for authorized users with the hiring permission and profile access when the worker's contract ended (Contract Ended badge), not for terminated workers.

Undo an offboarding

Each control has its own undo: Grant Access, Start Payroll and Enable User. See Stop Payroll, Suspend Access or Disable User: which to use.

On the mobile app

You can't offboard a worker in the mobile app. Use a web browser.

If Stop Payroll is blocked: Ask the payroll owner to review the existing payroll and contact Sequifi Support if the correct next step is unclear. Do not execute payroll, send payments, or change finalization status merely to bypass this blocker. Those actions affect the actual payroll and require the payroll owner’s review.
