Step-by-Step Walkthrough
Helping a Rep Update Their Own Information
In most cases, reps should update their own personal information. Here's how to guide them:
Have the rep log in to Sequifi.
Tell them to click on their initials in the upper right corner. A dropdown menu will appear.
Have them select "View Profile." This opens their full profile page.
Direct them to the section they need to update:
Personal Information – Name, date of birth, email, phone, address
Tax Info – Social Security Number or business EIN
Banking – Bank routing number, account number, account type
Have them make the changes and save. Changes take effect immediately.
Updating Employee Information as an Admin
If you have admin access, you can update information for any user in the system.
Accessing the User Profile
Click the gear icon in the upper right corner.
Select "User Management." This opens a list of all users.
Search for the employee you need to update. Type their name in the search bar or scroll through the list.
Click on the employee's name. This opens their full profile.
Updating Personal Information
On the employee's profile, look for the edit option. This may be a pencil icon or an "Edit" button near the personal information section.
Make the necessary changes:
Update name, email, or phone number
Change the address
Modify emergency contact information
Save your changes. The updates will take effect immediately.
Updating Organization Information
To change a rep's manager, office, or team, you'll use the Update Employment Package feature:
On the employee's profile, click "Update Employment Package" in the upper right area.
Select "Update Organization." This is the option for changing reporting structure.
Choose when the changes should apply:
Apply to all open sales – Affects past and future accounts
Apply immediately – Takes effect from today forward
Select a specific start date – Changes take effect on a future date
Temporary changes – Set a start and end date for temporary assignments
Make the organization changes:
Select the new manager
Choose the new office (if applicable)
Assign to a team (if applicable)
Review and confirm the changes.
Click "Save and Finish." The organization update is now complete.
Updating Commission Information
To change a rep's commission structure without creating a new contract:
Go to the employee's profile.
Click "Update Employment Package."
Select "Update Commissions."
Choose when the changes should apply:
Apply to all open sales (past and future)
Apply immediately (today forward)
Select a specific start date
Temporary changes (with start and end dates)
Update the commission percentages. Go through each product or commission type and adjust the rates as needed.
Update upfront pay if applicable. If the rep receives upfront payments, adjust those amounts.
Update override percentages if applicable. Make changes to any override rates.
Review the changes. The system will show you a summary of what's being updated.
Click "Save and Finish." The new commission structure is now active based on the dates you selected.
Updating Tax and Banking Information
Tax and banking information is sensitive, so reps typically update this themselves. However, admins can assist if needed.
Guiding a Rep to Update Tax Info
Have the rep go to their profile.
Click on the "Tax Info" tab.
Update their information:
For individuals: Social Security Number
For businesses: Business name, type, and EIN
Save the changes.
Guiding a Rep to Update Banking Info
Have the rep go to their profile.
Click on the "Banking" tab.
Enter the new banking details:
Bank name
Routing number
Account number
Account type (checking or savings)
Save the changes.
If a rep is unable to update their own information due to technical issues, an admin may need to assist directly.
Important Considerations
When Changes Take Effect
Personal information updates (address, phone, email) take effect immediately
Commission changes can be backdated or set for future dates depending on what you select
Organization changes (new manager, new office) can also be timed based on your selection
Impact on Payroll
Banking changes affect where future payments are sent
Commission changes affect how future (and sometimes past) accounts are calculated
Organization changes can affect override structures
Record Keeping
Sequifi keeps a history of changes for auditing purposes
Previous commission structures and organization details are preserved
This helps resolve any questions about what was in effect at a specific time
Tips and Common Mistakes
Let reps update their own information when possible. This is faster and ensures they enter their own details correctly, especially for banking and tax information.
Double-check banking details. Incorrect routing or account numbers can cause payment delays. Encourage reps to verify their information carefully.
Choose the right effective date for changes. Think about whether changes should apply to past accounts, start today, or begin on a future date. This affects how commissions are calculated.
Communicate changes to the rep. If you update someone's commission structure or organization, let them know what changed and when it takes effect.
Use temporary changes for short-term situations. If a rep is temporarily assigned to a different office or has a temporary commission adjustment, use the temporary option with start and end dates rather than making permanent changes.
Contact admin for sensitive changes. If you're unsure about making a change or don't have the right access, reach out to an admin rather than guessing.
