Transferring Reps Between Offices

When a rep needs to move to a different office or location, Sequifi allows admins to transfer them while preserving their account history and adjusting their organization structure.

When to Use This

  • A rep is relocating to a different city or region

  • A rep is being reassigned to a different office within the company

  • A rep is moving to a different team within the same office

  • A rep's manager is changing due to organizational restructuring

  • A temporary assignment requires a rep to work out of a different location

Who Can Transfer Reps

Transferring a rep between offices requires admin-level access. If you're a manager without admin access, you'll need to contact your admin to complete the transfer.

Step-by-Step Walkthrough

Accessing the Rep's Profile

There are two ways to find the rep you need to transfer:

Option 1: Through User Management

  1. Click the gear icon in the upper right corner.

  2. Select "User Management." This opens a list of all users in the system.

  3. Search for the rep you need to transfer. Type their name in the search bar.

  4. Click on the rep's name. This opens their profile.

Option 2: Through the Management Tab

  1. Click on "Management" in the left-hand menu.

  2. Click on "Personnel." This shows all reps you have access to view.

  3. Find and click on the rep's name. This opens their profile.


Initiating the Transfer

  1. On the rep's profile, look for "Update Employment Package" in the upper right area. Click this button to see the available options.

  2. Select "Transfer User." This is the second option in the list.

  3. Click "Proceed." This starts the transfer process.


Choosing When the Transfer Takes Effect

Before making changes, you'll need to select when the transfer should apply:

  1. Review the four timing options:

    • Apply to all open sales (past and future) – The transfer affects all accounts, including ones already in the pipeline

    • Apply immediately – The transfer takes effect from today forward, but past accounts stay with the original office

    • Select a specific start date – The transfer takes effect on a future date you choose

    • Temporary changes – Set both a start and end date for a temporary assignment

  2. Select the option that fits your situation.

  3. Click "Confirm."


Completing the Transfer Details

  1. Select the new state (if applicable). If the rep is moving to an office in a different state, select the new state from the dropdown.

  2. Select the new office. Choose the office location the rep is transferring to.

  3. Decide if the rep will be a manager of the new office.

    • If yes, check the box that says "I will be the manager of this office." This removes the requirement to assign a manager to them.

    • If no, leave this unchecked and proceed to assign their new manager.

  4. Select the rep's new manager. If the rep is not becoming an office manager, choose who they will report to in the new office.

  5. Select a team (if applicable). If the new office has multiple teams, assign the rep to the appropriate team.

  6. Click "Continue."


Reviewing Override Changes

When a rep transfers, their override structure may need to be updated.

  1. Review the override settings. The system will show you the current override structure and any changes that need to be made.

  2. Make adjustments if needed. If the rep's overrides are changing due to the transfer, update the percentages or amounts.

  3. Click "Continue."


Confirming the Transfer

  1. Review the transfer summary. The system will show you an audit of all the changes being made, including:

    • Old office vs. new office

    • Old manager vs. new manager

    • Old state vs. new state (if applicable)

    • Any override changes

  2. Verify all information is correct. Double-check that the new office, manager, and other details are accurate.

  3. Click "Save and Finish." The transfer is now complete.

  4. Look for the green checkmark. This confirms the transfer was successful.


What Happens After the Transfer

Once the transfer is complete:

  • The rep's profile is updated to show their new office and manager

  • Future accounts will be associated with the new office

  • Override structures may change based on the new organization

  • The rep can see their updated organization in their profile

  • Reports will reflect the new office assignment

Depending on the timing option you selected, past accounts may or may not be affected by the transfer.


Temporary Transfers

If a rep is being temporarily assigned to a different office, use the temporary changes option:

  1. Select "Temporary changes" when choosing when the transfer takes effect.

  2. Enter the start date. This is when the temporary assignment begins.

  3. Enter the end date. This is when the rep will automatically return to their original office.

  4. Complete the transfer details as normal.

  5. Save and finish.

When the end date is reached, the rep will automatically revert to their original office and manager assignment.


Tips and Common Mistakes

  • Choose the right timing option. Think carefully about whether the transfer should affect past accounts or only future ones. Applying to all open sales can change commission and override calculations on existing accounts.

  • Verify the new manager. Make sure you select the correct person as the rep's new manager. This affects reporting relationships and override structures.

  • Communicate with the rep. Let the rep know about the transfer, when it takes effect, and who their new manager will be. They should see the changes reflected in their profile.

  • Communicate with both offices. The old office manager should know the rep is leaving, and the new office manager should know they're gaining a team member.

  • Use temporary transfers for short-term assignments. If a rep is only moving temporarily (for training, a summer sales program, etc.), use the temporary option so they automatically return to their original office.

  • Check override structures after the transfer. Transfers can affect who earns overrides on the rep's sales. Review the override settings to make sure everything is set up correctly for the new organization.

  • Don't use transfer for promotions. If a rep is being promoted to a new position (not just a new office), you may need to use "Update Organization" or create a new contract instead of a simple transfer.
