Setting Up Locations

Locations in Sequifi represent the physical offices or markets where your team operates, and setting them up correctly ensures proper assignment of reps, accurate commission calculations, and meaningful reporting by region.

When to Use This

  • You're setting up Sequifi for the first time and need to configure your offices

  • Your company is expanding to a new market or opening a new office

  • You need to understand how locations affect commissions and reporting

  • You want to organize your team by geographic region

Who Can Set Up Locations

Setting up locations requires admin-level access. This is typically done during initial configuration and when the company expands to new areas.

Understanding Locations in Sequifi

Locations serve several important purposes:

Organizing your workforce Reps are assigned to locations, making it easy to see who works where and manage teams by office.

Commission calculations Some companies have location-specific commission rates. A rep selling in one market may earn different commissions than in another.

Reporting and analytics Reports can be filtered and broken down by location, showing performance by office or region.

Manager assignments Managers are often assigned to oversee specific locations, with visibility into their office's performance.

Override structures Office overrides may be tied to location assignments.

Step-by-Step Walkthrough

Accessing Location Settings

  1. Make sure you're in admin view. Click "Switch to Admin" in the upper right corner if needed.

  2. Click on "Settings" in the left-hand menu.

  3. Find and click on "Locations" or "Offices." The exact name may vary based on your configuration.

Viewing Existing Locations

  1. Review the list of current locations. You'll see all offices or markets currently configured.

  2. Note the information shown for each:

    • Location name

    • State or region

    • Number of users assigned

    • Location code (if applicable)

  3. Click on a location to see more details. View users assigned to that location and other settings.

Creating a New Location

  1. Click "Create" or "Add Location."

  2. Enter the location name. Use a clear, recognizable name:

    • "Phoenix Office"

    • "Dallas Market"

    • "Northeast Region"

    • "Downtown Branch"

  3. Select the state. Choose the state where this location operates. This may affect:

    • Tax calculations

    • State-specific commission rates

    • Compliance requirements

  4. Enter a location code (if required). Some setups use codes to identify locations:

    • "PHX"

    • "DAL-01"

    • "NE-REGION"

  5. Configure additional settings (if available):

Parent location If this location is part of a larger region, select the parent.

Address Enter the physical address of the office.

Manager Assign a manager who oversees this location.

Commission settings If this location has specific commission rates, configure them.

  6. Click "Create" or "Save."

  7. Verify the location appears in your list.

Setting Up Location Hierarchy

Locations can be organized hierarchically for larger organizations:

Example structure:

  • West Region (parent)

    • Phoenix Office

    • Las Vegas Office

    • Los Angeles Office

  • East Region (parent)

    • New York Office

    • Boston Office

    • Miami Office

To create hierarchy:

  1. Create parent locations first. These are your regions or divisions.

  2. Create child locations. When creating, select the parent location.

  3. Review the hierarchy. Verify locations are nested correctly.

Configuring Location-Specific Commissions

If commission rates vary by location:

  1. Find the location you want to configure.

  2. Click to edit or access commission settings.

  3. Set location-specific rates:

    • Base commission percentages

    • Product-specific rates

    • Override structures

  4. Save your changes.

When reps sell in this location, these rates apply (depending on your commission calculation settings).

Assigning Users to Locations

Users are assigned to locations during hiring or through employment package updates:

During hiring:

  1. In the hiring workflow, select the office location.

  2. The new hire is automatically assigned to that location.

For existing users:

  1. Go to the user's profile.

  2. Click "Update Employment Package."

  3. Select "Transfer User" to move them to a different location.

  4. Complete the transfer process.

Editing a Location

  1. Find the location you want to edit.

  2. Click on it or select an edit option.

  3. Make your changes:

    • Update the name

    • Change the state

    • Modify commission settings

    • Update the manager assignment

  4. Click "Save."

Note: Changes may affect users assigned to this location and how their commissions are calculated.

Deleting a Location

Before deleting, you must reassign any users and resolve any dependencies.

  1. Verify no users are assigned to the location. Transfer users to other locations first.

  2. Check for any active sales tied to the location. Determine how these should be handled.

  3. Find the delete option.

  4. Click to delete.

  5. Confirm the deletion.

How Locations Affect Your Operations

Hiring

When you hire someone, you assign them to a location. This determines:

  • Which office they belong to

  • Who their manager options are

  • What location-specific settings apply

Commissions

Locations can affect commission calculations:

  • Location-specific base rates

  • Market adjustments

  • Regional bonuses or incentives

Reporting

Locations enable powerful reporting:

  • Office-by-office performance comparisons

  • Regional rollups

  • Market analysis

  • Manager performance by location

Overrides

Office overrides may be structured around locations:

  • Office managers earn overrides on their location's production

  • Regional managers earn on multiple locations

  • Location hierarchy affects override flow

Tips and Common Mistakes

  • Plan your location structure. Think about how you want to organize and report before creating locations.

  • Use consistent naming. Develop a naming convention and apply it to all locations.

  • Consider future growth. Build a structure that can accommodate new offices without reorganization.

  • Set up hierarchy correctly. If you have regions containing offices, create the hierarchy from the start.

  • Assign managers appropriately. Each location should have a clear manager assignment.

  • Test commission calculations. After setting up location-specific rates, verify they calculate correctly.

  • Don't create unnecessary locations. Only create locations that serve a real organizational purpose.

  • Keep location codes simple. If using codes, make them short and intuitive.

Common Questions

What's the difference between a location and a department? Departments categorize types of workers (Sales, Management). Locations represent physical offices or geographic markets. A Sales Rep in the Phoenix Office is in the Sales department and the Phoenix location.

Can a user be in multiple locations? No, each user is assigned to one primary location. If someone works across locations, assign them to their primary office.

Do I need locations if we only have one office? Yes, you still need at least one location for proper system function. Create a single location representing your office.

How do locations affect commissions? This depends on your configuration. Some companies have the same rates everywhere, while others have location-specific rates based on market conditions.

Can I change a location's state after creating it? Yes, you can edit the location. However, this may affect tax calculations and other state-specific settings.

What happens to users if I delete their location? You must transfer users to another location before deleting. The system won't let you delete a location with assigned users.
