Managing Departments & Positions

Departments and positions define how your organization is structured in Sequifi, determining how reps are categorized, what features they can access, and how commissions and overrides are calculated.

When to Use This

  • You need to create a new department for a different type of worker

  • You want to add a new position to your company structure

  • You need to understand how departments and positions work

  • You're setting up Sequifi for the first time

  • Your company is adding new roles that need to be configured

Who Can Manage Departments & Positions

Managing departments and positions requires admin-level access. This is typically handled during initial setup and when organizational structures change.

Understanding Departments vs. Positions

Departments are broad categories that group similar types of workers:

  • Sales (typically 1099 independent contractors)

  • Management (typically corporate roles or W-2 employees)

  • Other custom departments your company creates

Positions are specific roles within departments:

  • Sales Rep

  • Setter

  • Closer

  • Sales Manager

  • Regional Manager

  • Account Manager

Think of departments as the top level of organization, with positions nested underneath.


Step-by-Step Walkthrough

Accessing Departments & Positions

  1. Make sure you're in admin view. Click "Switch to Admin" in the upper right corner if needed.

  2. Click on "Settings" in the left-hand menu.

  3. Look for the setup tabs along the top.

  4. Find and click "Departments and Positions." This is typically on the far right of the setup tabs.


Viewing Existing Departments

  1. Review the list of departments. You'll see all departments currently configured, such as:

    • Management

    • Sales

    • Any custom departments

  2. See the count of people in each department. The number shows how many users are assigned to each department.

  3. Click on a department to see details. This shows which users are in that department and their positions.


Creating a New Department

  1. Click "Create" or "Add Department."

  2. Select the parent department (if applicable). If this new department should be nested under an existing department, select it. Otherwise, leave blank for a top-level department.

  3. Enter the department name. Choose something clear and descriptive, such as:

    • "Insurance Sales"

    • "Customer Service"

    • "Recruiting"

  4. Click "Create."

  5. Verify the department appears in your list. You should see it in the department structure.


Understanding Department Hierarchy

Departments can be nested to create hierarchy:

Example structure:

  • Management (parent)

    • Assistant Management (child)

    • Corporate (child)

  • Sales (parent)

    • Residential Sales (child)

    • Commercial Sales (child)

To view the hierarchy:

  1. Look for dropdown arrows next to departments.

  2. Click to expand and see child departments.

  3. Understand that users in child departments are also part of the parent.


Editing a Department

  1. Find the department you want to edit.

  2. Click on the department or look for an edit option.

  3. Make your changes:

    • Update the department name

    • Change the parent department

    • Modify other settings

  4. Click "Save."


Deleting a Department

Be careful when deleting departments. You cannot delete a department that has users assigned to it.

  1. Find the department you want to delete.

  2. Verify no users are assigned to it. Move any users to a different department first.

  3. Click the delete option. This may be a trash icon or "Delete" button.

  4. Confirm the deletion.


Viewing Positions Within a Department

  1. Click on a department to expand it.

  2. View the positions listed under that department. Each position shows:

    • Position name

    • Number of users in that position

  3. Click on a position to see users. View who holds that position in your organization.


Creating a New Position

  1. Navigate to the Departments and Positions section.

  2. Find where to add positions. This may be within a department or a separate positions area.

  3. Click "Add Position" or "Create."

  4. Select the department this position belongs to. Choose Sales, Management, or another department.

  5. Enter the position name. Use clear, descriptive names:

    • "Senior Sales Rep"

    • "Team Lead"

    • "Regional Manager"

    • "Setter"

    • "Closer"

  6. Configure position settings (if available). Depending on your setup, you may configure:

    • Default commission structures

    • Override eligibility

    • Access permissions

    • Reporting relationships

  7. Click "Create" or "Save."

  8. Verify the position appears in the correct department.


Editing a Position

  1. Find the position you want to edit.

  2. Click on the position or select an edit option.

  3. Make your changes:

    • Update the position name

    • Change the department assignment

    • Modify settings

  4. Click "Save."

Note: Changing a position name or settings may affect users currently in that position.


Deleting a Position

  1. Find the position you want to delete.

  2. Verify no users are assigned to it. Move users to a different position first.

  3. Click the delete option.

  4. Confirm the deletion.


How Departments & Positions Affect Sequifi

Commission Structures

  • Positions often have default commission structures

  • When hiring, the position determines initial commission rates

  • Different positions can have different pay structures

Override Eligibility

  • Management positions typically earn overrides

  • Sales positions may or may not earn overrides

  • Position determines what types of overrides are available

System Access

  • Positions may determine what features users can access

  • Management positions often have more access than sales positions

  • Admin access is typically separate from position

Reporting

  • Reports can be filtered by department or position

  • Payroll reports show breakdowns by position

  • Performance metrics can be segmented by position

Hiring

  • When hiring, you select a department and position

  • The position determines default commission structures

Tips and Common Mistakes

  • Plan your structure before creating. Think through what departments and positions you need before setting them up.

  • Use clear, consistent naming. Names should be obvious to anyone in the organization.

  • Don't create too many positions. Keep it simple. Only create positions that have meaningfully different responsibilities or pay structures.

  • Consider hierarchy carefully. How departments and positions nest affects reporting and override structures.

  • Test with one user first. When creating a new position, test it with one hire before using it broadly.

  • Document your structure. Keep notes on what each department and position is for and when to use each.

  • Don't delete positions in use. Move users to new positions before deleting old ones.

What's the difference between Sales and Management departments? Sales is typically for 1099 independent contractors who earn commissions. Management is typically for corporate roles, often W-2 employees, who may have different pay structures and responsibilities.

Can a user be in multiple positions? No, each user has one position at a time. If someone changes roles, you update their position through their employment package.

What happens if I change a position name? The new name applies to everyone in that position. Their role doesn't change, just the label.

Can I have positions without departments? No, every position must belong to a department. Create the department first, then add positions to it.

How do positions affect permissions? Positions can have associated permission levels, but specific feature access is often controlled separately through user roles (rep, manager, admin).

Can I move a position to a different department? Yes, you can edit the position and change its department assignment. This affects all users in that position.
