Payroll History

The Payroll report gives admins a complete history of all processed payrolls, allowing you to review what was paid, when it was paid, and the detailed breakdown for each pay period.

When to Use This

  • You need to review past payroll periods

  • You want to see how much was paid out in a specific pay period

  • You need to check the breakdown of commissions, overrides, and deductions for a payroll run

  • You're investigating a pay question or discrepancy

  • You want to see individual rep payments for a specific period

  • You need to export payroll data for accounting or record-keeping

Who Can Access Payroll Reports

The full Payroll report requires admin-level access. Reps can view their own pay stubs, but only admins can see payroll data across the entire organization.

Step-by-Step Walkthrough

Accessing the Payroll Report

  1. Make sure you're in admin view. Click "Switch to Admin" in the upper right corner if needed.

  2. Click on "Reports" in the left-hand menu. This expands to show the report subtabs.

  3. Click on "Payroll." This is the fourth subtab and displays all past payroll data.


Using the Filters

At the top of the Payroll report, you'll find filters to customize your view.

  1. Filter by year. Select which year's payroll history you want to see. You can view the current year or go back to previous years like 2024 or 2023.

  2. Filter by month (optional). If you want to focus on a specific month, select it from the dropdown.

  3. Filter by pay frequency. Choose the type of payroll you want to view:

    • Weekly

    • Biweekly

    • Monthly

    • All frequencies

  4. Apply your filters. The report updates to show payroll periods matching your selections.


Exporting Payroll Data

You can export payroll data for accounting, record-keeping, or further analysis.

  1. Look for the "Export" button. This is near the top of the report.

  2. Click "Export." The data downloads as a CSV or Excel file.

  3. Open the file. You can use the exported data in Excel, accounting software, or other tools.


Understanding the Payroll List

The main section of the report shows a list of all processed payroll periods.

  1. Review the payroll period column. This shows the date range covered by each payroll (for example, September 21 - September 27).

  2. Check the processed date. This is when the payroll was actually finalized and payments were sent.

  3. Review the breakdown columns:

    • Hourly/Salary – Payments for hourly or salaried work (if applicable)

    • Overtime – Overtime payments (if applicable)

    • Commissions – Total commissions paid in this period

    • Overrides – Total overrides paid in this period

    • Deductions – Total deductions taken from pay

    • Reconciliations – Reconciliation adjustments

    • Adjustments – Manual adjustments added or subtracted

    • Net Pay – Total amount actually paid out

  4. Look at the totals row. At the top of the list (in a light gray row), you'll see the combined totals across all displayed payroll periods. This gives you a quick sum of all the periods shown.


Viewing a Specific Payroll Period

To see the details of a specific payroll run:

  1. Click on the payroll period date. This is a clickable link that opens the detailed view.

  2. Review the list of employees paid. You'll see every person who received payment in that period.

  3. Check the columns for each employee:

    • Employee Name – Who was paid

    • Position – Their role in the company

    • Commission/Comp Structure – Their pay structure

    • Hourly/Salary – Any hourly or salary amounts

    • Overtime – Any overtime pay

    • Commissions – Commission amount for this period

    • Overrides – Override amount for this period

    • Adjustments – Any manual adjustments

    • Deductions – Any deductions

    • Reconciliations – Any reconciliation amounts

    • Net Pay – Total paid to this employee


Viewing Individual Employee Pay Details

To see exactly what accounts contributed to someone's pay:

  1. From the payroll period detail view, find the employee.

  2. Click on the employee's name. This takes you to their profile.

  3. Or click on a specific amount (like Commissions). This opens a breakdown showing:

    • PID number for each account

    • Customer name

    • State

    • Commission amount per account

    • Payment type (M1, M2, service, etc.)

    • Payroll information

  4. Click on Overrides to see override details. This shows:

    • Which rep's sale generated the override

    • Customer name

    • Override amount

    • Override type

  5. Review other categories as needed. You can click into reconciliations, deductions, adjustments, and other categories to see itemized details.


Understanding Payment Types

When viewing the breakdown of commissions or overrides, you'll see payment types that indicate what triggered the payment:

  • M1 – First milestone payment

  • M2 – Second milestone payment

  • Initial Service – Payment when service began

  • Final Service – Payment when service completed

  • Net Service – Net service payment

  • Upfront – Payment made at time of sale

  • Clawback – Commission taken back due to cancellation (shown as negative)

Understanding these types helps you trace exactly why each payment was made.


Comparing Payroll Periods

To compare performance across different payroll periods:

  1. View the main payroll list. All periods are shown with their totals.

  2. Look for trends. Compare commission totals, override totals, and net pay across periods.

  3. Export multiple periods. Download the data and use Excel to create comparisons or charts.

  4. Note unusual periods. If a period has unusually high or low numbers, click into it to understand why.


Investigating Pay Questions

When a rep has a question about their pay:

  1. Find the payroll period in question.

  2. Click into the period details.

  3. Find the rep in the list.

  4. Click on their commission or override amount.

  5. Review the account-by-account breakdown. This shows exactly which accounts contributed to their pay.

  6. Check for clawbacks. If pay seems lower than expected, look for negative amounts indicating clawbacks.

  7. Verify milestone dates. If an expected payment isn't there, the account may not have reached the required milestone yet.


Understanding Payroll Totals

The totals at the top of the payroll list give you a quick financial summary:

Total Commissions The sum of all commission payments across all displayed periods. This represents direct sales compensation.

Total Overrides The sum of all override payments. This represents management and leadership compensation.

Total Deductions The sum of all amounts deducted from pay, including clawbacks, draw repayments, and other deductions.

Total Adjustments The sum of manual adjustments, both positive and negative.

Total Net Pay The actual amount paid out after all additions and subtractions. This is what went into reps' bank accounts.


Tips and Common Mistakes

  • Use filters to narrow your search. If you're looking for a specific period, filter by month and year to find it quickly.

  • Click into amounts for details. The summary numbers are helpful, but clicking into commissions, overrides, or other amounts reveals the account-level breakdown.

  • Check both regular payroll and one-time payments. Some payments (like draws or bonuses) may be processed as one-time payments rather than regular payroll.

  • Look at the processed date, not just the period. The processed date tells you when payments actually went out, which may be different from the period end date.

  • Export for record-keeping. Download payroll reports regularly for your accounting records and auditing purposes.

  • Compare periods to spot trends. Regular review of payroll reports helps you identify patterns like rising costs, seasonal fluctuations, or unusual spikes.

  • Trace questions to specific accounts. When investigating pay discrepancies, drill down to the account level to understand exactly what was paid and why.

  • Remember clawbacks appear as negatives. If a rep's pay seems low, check for clawback amounts that reduced their earnings.

Why is a rep's pay different from what they expected? Click into their payment details to see the account-by-account breakdown. Common causes include accounts not reaching milestones yet, clawbacks from canceled accounts, or deductions for draws or other items.

How do I find a specific payroll period? Use the year and month filters to narrow down the list, then look for the date range that matches the period you need.

Can I see who was paid the most in a period? Yes, click into the payroll period and review the net pay column. You can also export the data and sort it in Excel.

What if payroll was processed incorrectly? Past payrolls cannot be edited, but corrections can be made through adjustments in a future payroll period.

How far back can I see payroll history? Payroll history is retained for as long as your company has been using Sequifi. Use the year filter to access older periods.
