Completing Required Information

During onboarding, you'll need to provide several pieces of information to get fully set up in Sequifi, including personal details, tax information, and banking for direct deposit.

When to Use This

  • You're going through the onboarding process and need guidance

  • You want to know what information to have ready before starting

  • You're stuck on a specific step and need help

  • You want to understand why certain information is required

Information You'll Need

Before starting onboarding, gather these items:

Personal Information

  • Full legal name (as it appears on tax documents)

  • Date of birth

  • Current home address

  • Phone number

  • Emergency contact name and phone number

Tax Information

  • Social Security Number (for individuals)

  • Or EIN, business name, and business type (if being paid through a business entity)

Banking Information

  • Bank name

  • Routing number (9 digits)

  • Account number

  • Account type (checking or savings)

Having everything ready before you start makes the process quick and easy.


Step-by-Step Walkthrough

Personal Information Section

This section collects your basic details.

Full Legal Name

  1. Enter your first name. Use your legal first name, not a nickname.

  2. Enter your last name. This should match your tax documents exactly.

  3. Enter your middle name (if applicable). Include it if it appears on your tax documents.

Why it matters: Your name must match your Social Security card or EIN documentation for accurate tax reporting.


Date of Birth

  1. Click the date field. A calendar picker may appear.

  2. Select your birth date. Or type it in the format shown (MM/DD/YYYY).

Why it matters: This helps verify your identity and may be needed for background checks.


Home Address

  1. Start typing your address. The system may suggest matching addresses.

  2. Select your address from the dropdown. If your address appears, click to select it.

  3. If your address doesn't appear, click "Enter Manually."

  4. Fill in all fields:

    • Street address (include apartment number if applicable)

    • City

    • State (select from dropdown)

    • ZIP code

  5. Confirm this is your home address. Check the box indicating this is where you live.

Why it matters: Your address is used for tax documents (1099s are mailed here) and official correspondence.


Phone Number

  1. Enter your primary phone number. Include area code.

  2. Enter a secondary number (if requested). This is optional but helpful.

Why it matters: Your company needs to be able to contact you.


Emergency Contact

  1. Enter the contact's full name. Someone who can be reached if there's an emergency.

  2. Enter their phone number. Make sure it's a number where they can be reached.

  3. Enter their relationship to you (if requested). Spouse, parent, friend, etc.

Why it matters: In case of emergency, your company needs someone to contact on your behalf.


Profile Picture (Optional)

  1. Click the upload area.

  2. Select a photo from your device. Choose a professional-looking photo.

  3. Adjust or crop if prompted.

  4. Save the image.

Why it matters: While optional, a profile picture helps team members recognize you.


Tax Information Section

This section collects information needed for tax reporting.

Choosing Your Tax Type

You have two options:

Individual

  • Most common for new hires

  • You'll be paid personally

  • Requires your Social Security Number

  • 1099 issued in your name

Business

  • For those with an LLC, corporation, or other business entity

  • You'll be paid through your business

  • Requires your EIN and business details

  • 1099 issued to your business

Choose Individual unless you've specifically set up a business entity for receiving your pay.


For Individual Tax Setup

  1. Select "Individual" as your tax type.

  2. Enter your Social Security Number (SSN). This is your 9-digit SSN (XXX-XX-XXXX).

  3. Double-check the number. An incorrect SSN causes tax reporting problems.

  4. Click "Save and Continue."

Why it matters: Your SSN is required by law for the company to report your income to the IRS on a 1099 form.


For Business Tax Setup

  1. Select "Business" as your tax type.

  2. Enter your business name. The legal name of your business entity.

  3. Select your business type:

    • LLC (Limited Liability Company)

    • Corporation

    • S-Corporation

    • Partnership

    • Sole Proprietorship

  4. Enter your EIN (Employer Identification Number). This is your 9-digit business tax ID from the IRS.

  5. Click "Save and Continue."

Why it matters: If you're being paid through a business, the 1099 needs to be issued to your business with the correct EIN.


Banking Information Section

This section sets up your direct deposit so you can receive pay.

Finding Your Banking Information

Your routing and account numbers can be found:

  • On a check: The routing number is the first 9 digits at the bottom left. The account number is next to it.

  • In online banking: Log in to your bank's website or app and look for account details.

  • By calling your bank: They can provide both numbers over the phone.


Entering Banking Details

  1. Enter your bank name. The full name of your bank or credit union.

  2. Enter your routing number. This is exactly 9 digits. It identifies your bank.

  3. Enter your account number. This identifies your specific account. Length varies by bank.

  4. Confirm your account number. Re-enter it to verify you typed it correctly.

  5. Select your account type.

    • Checking – Recommended for regular deposits

    • Savings – Works but may have transaction limits

  6. Review all information. Triple-check that numbers are correct.

  7. Click "Save and Continue."

Why it matters: This is where your pay will be deposited. Incorrect information means you won't receive your money.


Tips and Common Mistakes

  • Have your documents ready. Gather your SSN, bank info, and address before starting so you can complete everything in one sitting.

  • Use your legal name. Nicknames or shortened names can cause tax reporting issues.

  • Double-check numbers. Transposed digits in your SSN, routing number, or account number cause significant problems.

  • Use a checking account. Savings accounts may have monthly transaction limits that could affect deposits.

  • Don't use payment apps. Use a traditional bank account, not payment apps like Venmo or Cash App, which may have different routing numbers.

  • Keep your SSN secure. Only enter it on the official Sequifi platform. Never share it via email or text.

  • Update if things change. If you move, change banks, or form a business, update your information in Sequifi.


Troubleshooting Common Issues

"Invalid SSN" error

  • Make sure you entered exactly 9 digits

  • Check for typos or transposed numbers

  • Don't include dashes if the system doesn't accept them

Address won't validate

  • Try entering it manually instead of using the dropdown

  • Make sure you're using the standard format for your address

  • Check for apartment or unit numbers that may be missing

Routing number not recognized

  • Verify you have the correct routing number for your bank

  • Some banks have different routing numbers for different regions

  • Confirm with your bank if you're unsure

Can't complete banking setup

  • Make sure all fields are filled in

  • Verify the account number matches in both fields

  • Try a different browser if problems persist


Common Questions

Why do you need my Social Security Number? By law, companies must report payments made to contractors on a 1099 form. Your SSN is required for this tax reporting.

Is my information secure? Sequifi uses security measures to protect your personal information. Only authorized personnel can access sensitive data.

Can I change my information later? Yes, you can update most information in your profile after onboarding. Go to your profile and edit the appropriate section.

What if I don't have a bank account? You'll need a bank account for direct deposit. Consider opening a basic checking account at a local bank or credit union.

Can I be paid to multiple bank accounts? This depends on your company's configuration. Most setups use a single account. Contact your admin if you need split deposits.

What if I enter something wrong? If you catch it during onboarding, go back and fix it. If onboarding is complete, update it in your profile or contact your admin for help.
