Create and manage departments and positions

Departments are under Settings > Company; positions are under Settings > Positions. Fields, pay setup, and delete rules.

Departments and positions are set up in two different places. Departments are at Settings > Company > Departments. Positions are their own item, Settings > Positions. A position carries the worker type, pay frequency, permission group and offer letter template for everyone in it, and its pay plan is set up with the position's Setup button.

Who can do this: Admins whose permission group includes Departments (view, add, edit, delete) for departments, and Positions (view, add, edit, delete) for positions.

Add a department

  1. In the Admin view, open Settings > Company, then select Departments in the left pane.

  2. Select Add New.

  3. In New Department, choose a Parent Department if this is a sub-department, and enter the Department Name.

  4. Select Create.

The table shows Departments, Sub Departments, Positions and People. Select the People number to see who is in a department. To rename a department, open Edit Department and select Save Changes.

Deleting a department

The delete icon appears only when a department has no sub-departments, no positions and no people. The two built-in departments can never be deleted. Sequifi warns: "Deleting this department will affect the entire software. Do you wish to continue?"

Add a position

  1. In the Admin view, open Settings > Positions.

  2. Select Add New.

  3. In New Position, fill in the fields (see the table below).

  4. Select Save. If your company uses tiers, the button is Next.

Worker Type, Pay Frequency and Main Role can't be changed after the position is saved, so check them before you save.

What it does

Position Name

The name workers and admins see.

Select Custom Products

The products people in this position sell. Required. Not shown for payroll-only SequiPay accounts.

Worker Type

Contractor (1099) or Employee (W-2).

Pay Frequency

How often people in this position are paid. This is how workers get a pay frequency. Add pay frequencies on the Setup page first.

Main Role

The sales role, such as Closer or Setter. The choices depend on your company type.

Permission Group

What people in this position can see and do.

Department

The department the position belongs to.

Parent Position

The position above it.

Offer Letter Template

The offer letter used when hiring into this position. It may be optional or required at your company.

Set up a position's pay

Commission, wages and overrides are not fields on the position form. After you save a position, select Setup on its row to open the pay setup. Depending on your company type, the steps include Wages, Redline, Commission, Upfront, Deductions & Accruals, Settlements, Overrides and Pay Frequency.

Custom sales fields that are marked Field available in position setup appear as choices in the Commission step. See Custom sales fields.

The Positions table

Columns are POSITION, DEPARTMENT and PEOPLE, with View and Setup buttons. The row menu has Edit Position, Edit Commission, Edit Permissions, View Change History and Delete Position. Delete Position appears only when PEOPLE is 0.

On the mobile app

Departments and positions can't be set up in the mobile app. Use a web browser.

Common questions

Where is the "Departments and Positions" tab?
There isn't one. Departments are under Settings > Company, and Positions are a separate Settings item.

Does the department decide whether someone is W-2 or 1099?
No. The position's Worker Type does.

Why can't I delete a department?
It still has sub-departments, positions or people, or it's one of the two built-in departments.

Why can't I pick a pay frequency on a new position?
Add it first on the Setup page's Pay Frequency card. See Set up pay frequencies.

How do I change what people in a position can access?
Change the position's permission group with Edit Permissions, or edit the group itself. See Permission groups and Company Admins.
