Rep agreements are the core employment documents that define the relationship between your company and your sales reps, and managing them properly ensures everyone has current, signed agreements on file.

Managing rep agreement templates requires admin-level access. Individual reps can view their own signed agreements, and managers may have limited visibility depending on permissions.

A rep agreement typically includes:

Position and responsibilities What the rep is expected to do and their role in the organization.

Compensation structure How commissions are calculated, override eligibility, and payment terms.

Agreement duration When the agreement starts and ends (if applicable).

Company policies Rules and expectations the rep must follow.

Termination conditions How and when the agreement can be ended by either party.

Legal provisions Confidentiality, non-compete clauses, dispute resolution, and other legal terms.


Step-by-Step Walkthrough

Accessing Rep Agreement Templates

  1. Make sure you're in admin view. Click "Switch to Admin" in the upper right corner if needed.

  2. Click on "Sequadox" in the left-hand menu. This is where document templates are managed.

  3. Find your rep agreement template. It may be listed as "Rep Agreement," "Contractor Agreement," or similar.

  4. Click to view or edit the template.


Viewing an Individual Rep's Agreement

To see a specific rep's signed agreement:

  1. Find the rep using one of these methods:

    Through User Management:

    • Click the gear icon in the upper right corner

    • Select "User Management"

    • Search for the rep by name

    • Click on their name

    Through Management:

    • Click "Management" in the left-hand menu

    • Click "Personnel"

    • Find and click on the rep

  2. Go to the "Documents" tab on their profile.

  3. Find the rep agreement in their document list.

  4. Click to view the signed document.

  5. Download if needed. Look for a download option to save a copy.


Verifying Agreement Status

To check if a rep has a current, signed agreement:

  1. Open the rep's profile.

  2. Go to the "Documents" tab.

  3. Look for the rep agreement.

  4. Check the status:

    • Signed: Agreement is complete and on file

    • Pending: Agreement is waiting for signature

    • Expired: Agreement has passed its end date

  5. Review agreement dates. Check when it was signed and when it expires (if applicable).


Updating Rep Agreement Templates

If you need to change your standard rep agreement:

  1. Go to Sequadox.

  2. Find your rep agreement template.

  3. Click "Edit" or access template settings.

  4. Make your changes:

    • Update terms and language

    • Modify compensation sections

    • Add or remove clauses

    • Update company information

  5. Save the updated template.

Important: Changes to templates only affect future agreements. Existing signed agreements are not modified.


Rolling Out New Agreements

When you need all reps to sign updated agreements:

Option 1: Use the Resign Process

  1. Update your rep agreement template.

  2. Identify which reps need new agreements.

  3. Use the Resign process for each rep. This sends them a new agreement to sign without full re-onboarding.

  4. Track who has signed. Monitor the onboarding employees section for completion.

  5. Follow up with those who haven't signed.

Option 2: Annual Renewal Process

If your company does annual renewals:

  1. Set agreement end dates when hiring. Agreements expire at year end (or your renewal date).

  2. Before expiration, initiate resignings. Send new agreements to all reps.

  3. Track completion. Ensure everyone signs before the new period begins.


Managing Different Agreement Types

If you have different agreements for different positions:

Create separate templates:

  1. Sales Rep Agreement

    • Standard commission structure

    • No override provisions

    • Basic terms

  2. Manager Agreement

    • Override structure included

    • Management responsibilities

    • Enhanced commission structure

  4. Addendums are signed along with the main agreement. They become part of the complete agreement package.

Document Retention

  • Keep signed agreements on file for all active reps

  • Retain agreements for terminated reps according to your retention policy

  • Download and backup important documents regularly

Version Control

  • Date your agreement templates

  • Keep records of when templates were changed

  • Note which version each rep signed

Compliance

  • Have agreements reviewed by legal counsel

  • Update agreements when laws change

  • Ensure agreements comply with state-specific requirements

Communication
