Tracking Request Status

After submitting a request in Sequifi, you can track its progress through the review and approval process to know exactly where it stands and when to expect payment.

When to Use This

  • You submitted a request and want to check its status

  • You're waiting on an advance, reimbursement, or other payment

  • You want to see if your request has been reviewed yet

  • You need to follow up on a request that's been pending for a while

  • You want to understand what each status means

Step-by-Step Walkthrough

Accessing Your Requests

  1. Log in to Sequifi. You'll land on your dashboard after signing in.

  2. Click on "Requests & Approvals" in the left-hand menu. This is located near the bottom of the menu.

  3. Click on the "My Requests" tab. This shows all requests you've submitted.


Viewing Your Request List

On the My Requests tab, you'll see a list of all your submitted requests with key information:

  • Type – What kind of request it is (advance, reimbursement, bonus, etc.)

  • Amount – How much you requested

  • Date Submitted – When you submitted the request

  • Status – Where the request is in the approval process

  • Description – A summary of your request details


Understanding Request Statuses

Each request has a status that tells you where it is in the process. Here's what each status means:

Pending Your request has been submitted and is waiting for your manager or admin to review it. At this stage:

  • The request is in the queue

  • No action has been taken yet

  • Your manager will review it when they can

Approved Your manager has approved the request. At this stage:

  • The request has been accepted

  • It's moving toward payment

  • It will be included in an upcoming payroll or processed as a one-time payment

Declined Your request was not approved. At this stage:

  • The request has been reviewed and rejected

  • You should follow up with your manager to understand why

  • You may be able to provide more information and resubmit

Scheduled The payment has been approved and is scheduled for a specific payroll period. At this stage:

  • You know payment is coming

  • It will be included in the scheduled payroll run

  • Check your pending pay to see it reflected

Paid The payment has been processed. At this stage:

  • The money has been sent

  • It should appear on your pay stub or as a one-time payment

  • The request is complete


Viewing Status Definitions in Sequifi

If you need a reminder of what each status means:

  1. Look for the information icon next to the "Status" column header. This is a small "i" or question mark icon.

  2. Hover over the icon. A tooltip appears explaining each status.

  3. Review the definitions. This helps you understand exactly where your request stands.


Viewing Request Details

To see more information about a specific request:

  1. Find the request in your list.

  2. Click on the request. This opens the full details.

  3. Review the information:

    • Full description you provided

    • Amount requested

    • Date submitted

    • Current status

    • Any attached documents

    • Notes from the reviewer (if any)

  4. Check for reviewer comments. If your manager added notes or asked for more information, you'll see it here.


Filtering Your Requests

If you have many requests and need to find a specific one:

  1. Look for the search or filter options. These are typically near the top of the request list.

  2. Filter by type. Show only advances, only reimbursements, or another specific type.

  3. Filter by status. Show only pending requests, only approved requests, etc.

  4. Search by keyword. If you remember part of the description, search for it.

  5. Filter by date. Narrow down to requests from a specific time period.


What to Do Based on Status

If status is Pending:

  • Be patient, your manager will review it soon

  • If it's been pending for several days, consider following up with your manager

  • Make sure you provided enough detail and documentation

If status is Approved:

  • Great news! Payment is on the way

  • Check your pending pay to see when it will be included

  • Watch for it on your next pay stub

If status is Declined:

  • Don't panic, there may be a simple reason

  • Contact your manager to understand why

  • Ask if you can provide additional information and resubmit

If status is Scheduled:

  • Payment is confirmed for a specific date

  • Check which payroll period it's scheduled for

  • It will appear on that pay stub

If status is Paid:

  • The request is complete

  • Check your pay stub or one-time payments to verify you received it

  • If you don't see the payment, contact your admin


Following Up on Pending Requests

If a request has been pending for a while:

  1. Check how long it's been pending. A day or two is normal. Longer may warrant follow-up.

  2. Consider your manager's workload. They may have many requests to review.

  3. Send a polite follow-up. Ask your manager if they've had a chance to review your request.

  4. Provide additional information if needed. If they have questions, respond promptly.

  5. Be patient but persistent. Follow up again if you don't hear back after a reasonable time.


Tips and Common Mistakes

  • Check status before assuming there's a problem. Many requests take a few days to process. Check the status before reaching out.

  • Understand what each status means. Knowing the difference between "Approved" and "Scheduled" and "Paid" helps you know what to expect.

  • Follow up appropriately. If a request has been pending for more than a few days, a polite follow-up is reasonable. Don't wait weeks without checking in.

  • Keep track of multiple requests. If you have several requests submitted, track each one individually since they may be at different stages.

  • Check both pay stubs and one-time payments. Approved requests may appear in either location depending on how they're processed.

  • Don't resubmit if still pending. If your request is still pending, don't submit a duplicate. This creates confusion and extra work.

  • Respond quickly to questions. If your manager asks for more information, respond promptly to avoid delays.


Common Questions

How long should I wait before following up? Give your manager at least 2-3 business days to review. If it's urgent, you can follow up sooner, but be respectful of their time.

Why was my request declined? Common reasons include missing documentation, expenses that aren't covered, or requests that don't follow company policy. Ask your manager for specifics.

Can I edit a request after submitting? Generally, you cannot edit submitted requests. If you need to make changes, contact your manager or submit a new request with the correct information.

What if I submitted a duplicate request by mistake? Contact your manager or admin to let them know. They can help resolve the duplicate.

How do I know when payment will arrive? When a request is approved or scheduled, check your pending pay to see when it will be included. Once it's paid, it appears on your pay stub.

Can I cancel a pending request? Contact your manager or admin if you need to cancel. You may not be able to delete it yourself.
