Common Alerts & How to Fix Them

The Alert Center surfaces various issues that need attention, and knowing how to resolve each type helps you maintain clean data and smooth payroll processing.

When to Use This

  • You see an alert and aren't sure what it means

  • You need step-by-step instructions for fixing a specific alert type

  • You want to understand why certain alerts appear

  • You're trying to clear your Alert Center backlog

Missing Rep Information Alerts

These alerts appear when a rep's profile is incomplete.

Missing Tax Information

What it means: The rep hasn't entered their Social Security Number (for individuals) or EIN (for businesses). Without this, you cannot properly report their income on a 1099.

How to fix it:

  1. Contact the rep. Let them know their tax information is missing.

  2. Ask them to log in to Sequifi.

  3. Direct them to their profile. Click on initials in the upper right, then "View Profile."

  4. Have them click on the "Tax Info" tab.

  5. Have them enter their information:

    • For individuals: Social Security Number

    • For businesses: Business name, type, and EIN

  6. Have them save their changes.

  7. Verify the alert clears. Once saved, the alert should disappear from the Alert Center.

Prevention: Ensure new hires complete all onboarding steps, including tax information, before they start working.


Missing Banking Information

What it means: The rep hasn't set up their direct deposit information. They cannot receive pay until this is completed.

How to fix it:

  1. Contact the rep immediately. This is high priority since it affects their ability to get paid.

  2. Ask them to log in to Sequifi.

  3. Direct them to their profile.

  4. Have them click on the "Banking" tab.

  5. Have them enter their banking details:

    • Bank name

    • Routing number

    • Account number

    • Account type (checking or savings)

  6. Have them save their changes.

  7. Verify the alert clears.

Prevention: Make banking setup a required step during onboarding. Follow up with new hires who haven't completed it within their first few days.


Missing Address

What it means: The rep's home address is not on file. This affects tax reporting and official correspondence.

How to fix it:

  1. Contact the rep.

  2. Ask them to update their profile.

  3. Have them go to the Personal Information section.

  4. Have them enter their complete address:

    • Street address

    • City

    • State

    • ZIP code

  5. Have them save their changes.

Prevention: Include address as a required field during onboarding.


Incomplete Onboarding

What it means: The rep started but didn't finish the onboarding process. They may be missing multiple pieces of information or unsigned documents.

How to fix it:

  1. Go to the Hiring tab.

  2. Click on "Onboarding Employees."

  3. Find the rep in the list.

  4. Review what's incomplete. The system shows which steps are pending.

  5. Contact the rep. Let them know they need to complete onboarding.

  6. Have them log in and finish the remaining steps.

  7. Monitor their progress. Check the onboarding status to confirm completion.

Prevention: Set expectations during hiring that onboarding must be completed promptly. Follow up within 24-48 hours if it's not done.


Unsigned Documents

What it means: The rep has documents waiting for their signature, such as their rep agreement, W-9, or other required paperwork.

How to fix it:

  1. Contact the rep.

  2. Let them know they have unsigned documents.

  3. Have them log in to Sequifi.

  4. Direct them to their profile, Documents tab.

  5. Have them find the unsigned documents. These should be marked as pending or requiring signature.

  6. Have them review and sign each document.

  7. Verify completion. Check that the documents now show as signed.

Prevention: Make document signing mandatory during onboarding. Don't allow reps to start working until all required documents are signed.


Location and Account Alerts

These alerts relate to accounts or location configurations.

Missing Location Code

What it means: An account was entered without a valid location code, so the system can't determine which office or commission structure applies.

How to fix it:

  1. Click on the alert to see the account details.

  2. Note the PID number.

  3. Go to Reports, then Sales.

  4. Find the account using the PID.

  5. Click on the PID to open account details.

  6. Click Edit.

  7. Add the correct location code.

  8. Save the account.

Prevention: Ensure all sales imports and manual entries include valid location codes. Review import templates to make location code required.


Location Red Line Approval

What it means: An account has a location-specific commission rate or exception that needs approval before processing.

How to fix it:

  1. Review the alert details. See what location and rate is being requested.

  2. Verify the rate is correct. Check if this matches your company's policies for that location.

  3. Approve or deny the red line. If correct, approve it. If not, deny it and work with the rep to correct the account.

  4. The alert clears once a decision is made.

Prevention: Ensure location-specific rates are properly configured in your settings so fewer manual approvals are needed.


Rep Red Line Approval

What it means: A rep has a special commission rate or exception on an account that differs from their standard structure and needs approval.

How to fix it:

  1. Review the alert details. See what rep and rate is involved.

  2. Understand why the red line exists. Was there a special agreement? Is this correct?

  3. Approve if valid. If the special rate is legitimate, approve it.

  4. Deny if incorrect. If it's an error, deny it and correct the account.

  5. Document the decision. Keep notes on why red lines are approved for future reference.

Prevention: Clearly communicate standard commission structures. Use red lines only for genuine exceptions, not routine situations.


System Alerts

These alerts relate to technical or system-wide issues.

Integration Sync Error

What it means: Data from an external system (like a CRM) failed to sync properly with Sequifi.

How to fix it:

  1. Review the alert details. See what integration and data is affected.

  2. Check if it's a temporary issue. Sometimes syncs fail due to network issues and resolve on their own.

  3. Verify the external system is working. Log in to the other system and check for issues.

  4. Re-trigger the sync if possible. Some integrations allow manual re-sync.

  5. Contact support if the issue persists. Ongoing sync failures may require technical assistance.

Prevention: Monitor integrations regularly. Address connection issues promptly before they cause data gaps.


Duplicate Record Warning

What it means: The system detected a potential duplicate, such as two accounts for the same customer or two profiles for the same rep.

How to fix it:

  1. Review both records. Compare the potential duplicates to see if they're truly the same.

  2. Determine which is correct. If they are duplicates, decide which record to keep.

  3. Merge or delete the duplicate. Work with support if you need help merging records properly.

  4. Update any references. Make sure other data points to the correct record.

Prevention: Use consistent data entry practices. Check for existing records before creating new ones.


Tips and Common Mistakes

  • Address high-impact alerts first. Missing banking information prevents payment. Missing tax information affects year-end reporting. Prioritize accordingly.

  • Set deadlines for reps. When you contact a rep about missing information, give them a specific deadline to complete it.

  • Follow up if not resolved. Don't assume one message will do the trick. Follow up if the alert remains after a few days.

  • Look for patterns. If you see the same alert type repeatedly, there may be a process issue to fix.

  • Don't approve red lines without understanding them. Take time to verify that special rates are legitimate before approving.

  • Document exceptions. When you approve a red line or exception, note why so you have a record for future reference.

  • Check alerts before payroll. Run through your Alert Center before processing payroll to catch issues that could affect payments.


Common Questions

What if a rep won't complete their missing information? Follow up multiple times with clear deadlines. If they still don't comply, escalate to their manager. Ultimately, they may not be able to receive pay until information is complete.

Can I fix missing information for a rep myself? For some items (like address), you may be able to update it yourself. For sensitive items (like banking and tax info), the rep should enter it themselves for accuracy and security.

How long do I have to resolve alerts? There's no system deadline, but unresolved alerts can cause payroll problems, compliance issues, and data quality degradation. Address them promptly.
