Adding Manual Overrides

Manual overrides allow admins to add a one-time override payment to a specific account for a specific person, outside of the normal override structure.

When to Use This

  • You need to give someone an override on a specific deal that isn't part of their normal structure

  • A special arrangement was made for a particular account

  • Someone helped close a deal and deserves compensation even though they're not in the normal override hierarchy

  • A manager or leader needs a one-time bonus tied to a specific account

  • You're correcting an override that was missed or set up incorrectly

Who Can Add Manual Overrides

Adding manual overrides requires admin-level access. If you're a manager without admin access, you'll need to contact your admin to add a manual override.

How Manual Overrides Work

Unlike regular overrides that are calculated automatically based on org structure and position, manual overrides are:

  • Added individually to specific accounts

  • One-time additions that don't affect other accounts

  • Separate from the rep's normal override structure

  • Paid out when the account reaches the appropriate milestone

Manual overrides appear in the account details and are paid through normal payroll just like other overrides.


Step-by-Step Walkthrough

Finding the Account

First, you need to locate the account you want to add the manual override to.

  1. Make sure you're in admin view. Click "Switch to Admin" in the upper right corner if needed.

  2. Click on "Reports" in the left-hand menu.

  3. Click on "Sales." This shows all accounts in the system.

  4. Find the account you need. You can:

    • Search by customer name

    • Filter by rep, office, or date

    • Scroll through the list

  5. Click on the PID number for the account. This opens the full account details page.


Adding the Manual Override

  1. On the account details page, look for the "Edit" button. This is usually on the right side of the page.

  2. Click "Edit." This allows you to make changes to the account.

  3. Scroll down to the "Account Overrides" section. This is near the bottom of the account details.

  4. Click "Add." This opens the form to add a new override.

  5. Select the recipient. Search for and select the person who should receive this override. For example, if you're adding an override for Sofia Patterson, type her name and select her from the dropdown.

  6. Select the override type. Choose how the override should be calculated:

    • Percent – A percentage of the account value

    • Per Kilowatt – A flat amount per kilowatt (for solar accounts)

    • Per Sale – A flat dollar amount for this sale

  7. Enter the override amount. Based on the type you selected:

    • For percent: Enter the percentage (for example, 20 for 20%)

    • For per kilowatt: Enter the dollar amount per kW

    • For per sale: Enter the total dollar amount

  8. Click "Save." The manual override is now added to the account.


Verifying the Override

After adding the manual override, verify it was set up correctly:

  1. Look at the Account Overrides section. You should now see the new override listed with:

    • Recipient name

    • Type (percent, per kW, or per sale)

    • Amount or percentage

    • Total dollar value

  2. Review the total. Make sure the calculated total matches what you expected.

  3. Click "Save Sale" to finalize all changes. This saves the account with the new manual override included.

  4. Confirm the save was successful. You should see a confirmation that the changes were saved.


When Manual Overrides Are Paid

Manual overrides follow the same payment rules as regular overrides:

  • They are paid when the account reaches the appropriate milestone (M1, M2, completion, etc.)

  • They appear on the recipient's payroll along with their other earnings

  • They show up in the recipient's override earnings in their My Earnings tab

  • If the account cancels, the manual override may be clawed back just like regular overrides


Viewing Manual Overrides

On the Account

  1. Go to the account details page by clicking the PID.

  2. Scroll to the Account Overrides section.

  3. Look for overrides marked as "Manual" in the type column.

In the Recipient's Earnings

  1. Go to the recipient's profile.

  2. View their My Earnings or Overrides tab.

  3. Find the account in their override list. The manual override will be included in their total override earnings for that account.


Editing or Removing Manual Overrides

If you need to change or remove a manual override:

  1. Go to the account details page.

  2. Click "Edit."

  3. Scroll to the Account Overrides section.

  4. Find the manual override you need to change.

  5. To edit: Click on the override and change the type, percentage, or amount.

  6. To remove: Look for a delete or remove option next to the override.

  7. Click "Save Sale" to finalize your changes.

Note: If the override has already been paid, removing it may create a clawback situation on the recipient's next payroll.


Tips and Common Mistakes

  • Make sure you select the right account. Double-check the PID and customer name before adding an override. Adding it to the wrong account means the wrong person gets paid.

  • Verify the recipient. Search carefully and make sure you select the correct person. Similar names can cause confusion.

  • Choose the right override type. Percent, per kilowatt, and per sale calculate very differently. A 20% override is very different from a $20 per sale override.

  • Check the calculated total. After entering the percentage or amount, look at the total to make sure it's what you expected. If the total looks wrong, you may have entered the wrong value.

  • Remember to click Save Sale. Adding the override isn't complete until you save the entire account. Don't navigate away before saving.

  • Document why you added the override. Keep a record of why manual overrides were added, in case questions come up later. You might add a note to the account or keep your own records.

  • Communicate with the recipient. Let the person know you've added a manual override and what account it's tied to. They'll be able to see it in their earnings once the account is paid.

  • Consider timing. If the account is close to being paid, the override will show up soon. If the account is still pending, it may be a while before the override is paid out.

  • Be aware of clawbacks. If the account cancels after the manual override is paid, the override amount will be clawed back from the recipient's future pay.


Common Questions

Can I add multiple manual overrides to the same account? Yes, you can add manual overrides for multiple people on the same account. Each override is tracked separately.

Can I add a manual override to a canceled account? You can, but it won't result in payment since canceled accounts don't pay out. This is generally not useful.

Does a manual override affect the rep's commission? No, manual overrides are separate from commissions. The sales rep's commission remains the same. The manual override is an additional payment to whoever you specify.

Can the recipient see the manual override? Yes, once the account is paid, the recipient will see the override in their earnings. Before payment, they may see it in their pending pay if the account has reached a payable milestone.
