Sales Reports

The Sales report gives admins a detailed view of all accounts across the organization, including customer information, account statuses, commission breakdowns, and the ability to import or add new sales.

When to Use This

  • You need to see all sales across the company in one place

  • You want to review account details for specific customers

  • You need to check commission and override breakdowns for accounts

  • You want to filter sales by rep, office, date, or status

  • You need to import sales data from an external source

  • You want to manually add a sale to the system

  • You're analyzing sales performance for reporting purposes

Who Can Access Sales Reports

The full Sales report with all company data requires admin-level access. Managers may have access to sales data for their own office or team.

Step-by-Step Walkthrough

Accessing the Sales Report

  1. Make sure you're in admin view. Click "Switch to Admin" in the upper right corner if needed.

  2. Click on "Reports" in the left-hand menu. This expands to show the report subtabs.

  3. Click on "Sales." This is the second subtab and displays all sales data.


Using the Filters

The Sales report has powerful filtering options to help you find exactly what you need.

  1. Filter by date type. Select which date to filter by:

    • Service date

    • M1 date

    • Cancel date

    • Initial service date

    • Sell date

  2. Filter by time period. Choose from:

    • Week

    • Month

    • Year

    • Last year

    • Quarterly

    • Custom (select your own date range)

  3. Filter by rep. Select a specific sales rep to see only their accounts.

  4. Filter by office. Select a specific office to see only accounts from that location.

  5. Apply your filters. The report updates to show matching results.


Understanding the Overview Section

At the top of the Sales report, you'll see a summary of account statuses and performance.

  1. Review the circle graph. This shows your accounts broken down by status:

    • M2s completed (or services completed)

    • M2s canceled

    • Initial service accounts

    • Pending service accounts

  2. Check the contracts section. This displays:

    • Kilowatts installed (for solar) or total service revenue

    • Pending amounts waiting to complete

    • Total paid commissions already paid out

    • Projected commissions (in light blue) from pending accounts

    • Install/service ratio showing completion percentage

  3. Review the rep performance stats:

    • Average account per rep

    • Average kilowatt or contract value per rep

    • Best day (highest single day of sales)

    • Best week (highest week of sales)

    • Best month (highest month of sales)


Viewing the Customer Info List

Below the overview, you'll find a detailed list of all accounts.

  1. Scroll down to the customer info section. This table shows every account matching your filters.

  2. Review the columns:

    • PID – The unique identifier for each account

    • Customer – The customer's name

    • Source – How the account entered the system (import, API, manual)

    • Job Status – Current status of the account

    • Product – What was sold

    • Setter – The rep who set the appointment (if applicable)

    • Closer – The rep who closed the sale (if applicable)

    • Last Payment Date – When the most recent payment was made

    • Total Commissions – Commission amount for this account

    • Total Overrides – Override amount for this account

    • Kilowatts/Service Value – Size or value of the account

  3. Understand the color coding:

    • Regular text indicates active accounts

    • Red text indicates canceled accounts

    • Light blue numbers indicate projected amounts (not yet paid)

  4. Hover over payment dates for details. When you hover over the last payment date, you'll see:

    • Initial service date and payment date

    • Completed service date and payment date

    • Which payroll period included each payment


Viewing Individual Account Details

  1. Click on any PID number in the list. This opens the full account details page.

  2. Review the customer details:

    • Customer name and contact information

    • Address and location

    • PID number and source

  3. Review the job details:

    • Job status

    • Product type

    • Gross account value

    • Kilowatts or contract value

    • Location code

  4. Check the milestone dates:

    • Sell date

    • Initial service date

    • M1 date and payment date

    • Completion date

    • M2 date and payment date

  5. Review any notes on the account. Notes provide additional context or special instructions.

  6. See the worker breakdown. This shows:

    • Who the closer was and their commission

    • Who the setter was and their commission (if applicable)

    • The commission structure and amounts for each

  7. See the account overrides. This lists everyone earning an override on this account:

    • Recipient name

    • Override type

    • Override amount or percentage

    • Total override earnings


Filtering the Customer List

To narrow down the customer list:

  1. Click the "Filter" button. This opens additional filter options.

  2. Apply specific filters:

    • Product – Show only certain product types

    • State – Filter by customer location

    • Installer/Status – Filter by account status

    • Other criteria as available

  3. Click "Apply" to update the list.

  4. Reset filters when done. Click reset or remove filters to return to the full list.


Adjusting Row Count

If you have many accounts and want to see more at once:

  1. Look for the row count option. This is typically near the bottom or top of the list.

  2. Select a higher number. Options may include 25, 50, 100, or more rows per page.

  3. The list updates to show more accounts. This reduces the need to paginate through multiple pages.


Exporting Sales Data

  1. Click the "Export" button. This is located near the top of the report.

  2. The data downloads as an Excel file. The export includes all accounts matching your current filters.

  3. Open the file for analysis. Use Excel to sort, filter, create charts, or prepare custom reports.


Viewing Import History

If you've imported sales data from external files, you can review the history.

  1. Look for "View Imported History" option. This is in the customer info section area.

  2. Click to view import history. You'll see:

    • File names that were imported

    • Number of accounts in each import

    • Import dates and times

    • Who performed the import

  3. Use this to track data sources. Import history helps you understand where your data came from.


Importing Sales Records

To import multiple sales at once from an Excel file:

  1. Click the "Import" button. This opens the import dialog.

  2. Select an import template. Templates define how your Excel columns map to Sequifi fields. Choose a template that matches your file format.

  3. Review or create templates if needed. Click "Customizable Import Templates" to see existing templates or create new ones.

  4. Select your file. Click "Select File" and choose the Excel file you want to import.

  5. Upload the file. The system processes the file and imports the accounts.

  6. Review for errors. If any accounts couldn't be imported, you'll see error messages explaining why.


Adding a Single Sale Manually

To add one account at a time:

  1. Click "Add Sale." This opens a form for entering sale details.

  2. Enter the required information (marked with red asterisks):

    • PID number

    • Customer name

    • Address, city, state, ZIP

    • Location code

  3. Enter additional details:

    • Customer phone and email

    • Product type

    • Job details (kilowatts, contract value, etc.)

    • Sale date

    • Service dates (if known)

  4. Attach workers to the account. Select the closer, setter, or sales rep for this account.

  5. Click "Save Sale." The account is added to the system and commissions begin calculating.


Tips and Common Mistakes

  • Use filters to find specific accounts quickly. With many accounts in the system, filters are essential for finding what you need.

  • Check the date type filter. Make sure you're filtering by the right date (sell date vs. service date) or you might not see the accounts you expect.

  • Click into accounts for full details. The list view shows summaries, but clicking the PID reveals complete information including all milestone dates and commission breakdowns.

  • Review canceled accounts. Accounts in red have canceled. Understanding why accounts cancel helps improve your sales process.

  • Export for complex analysis. The in-app views are great for quick lookups, but exports give you flexibility for deeper analysis in Excel.

  • Verify imports carefully. After importing sales data, spot-check several accounts to make sure the data mapped correctly.

  • Use consistent PID formats. When adding sales manually, use a consistent format for PID numbers to make searching easier.

  • Attach the right workers. When adding a sale, make sure you select the correct closer and setter. Commission calculations depend on these assignments.
