Managing the Lead Pipeline

The lead pipeline gives managers a visual way to track where potential hires are in the recruiting process, from initial submission through interviews to final hiring decisions.

When to Use This

  • You want to see all leads and where they stand in the hiring process

  • You need to move leads through different stages as they progress

  • You want to organize your recruiting efforts visually

  • You need to identify leads that are stuck or need attention

  • You want to manage the flow of candidates through your hiring funnel

Who Can Access the Lead Pipeline

The lead pipeline is available to managers and admins who have access to the Hiring tab. Individual reps can submit referrals but typically don't have access to manage the full pipeline.

Step-by-Step Walkthrough

Accessing the Lead Pipeline

  1. Log in to Sequifi. You'll land on your dashboard after signing in.

  2. Click on "Hiring" in the left-hand menu. This expands to show hiring-related subtabs.

  3. Click on "Pipeline." This opens the visual pipeline view.


Understanding the Pipeline Layout

The pipeline displays leads in a board format with columns (called buckets) representing different stages.

Default buckets might include:

  • New Lead

  • Contacted

  • First Interview

  • Second Interview

  • Manager Approval

  • Ready to Hire

  • Hired

  • Rejected

Your company may have customized these stages to match your specific hiring process.

Each lead card shows:

  • Lead name

  • Contact information

  • When they were submitted

  • Who referred them

  • Current status


Viewing Leads in the Pipeline

  1. Look at each bucket to see leads at that stage. Leads are displayed as cards within each column.

  2. Count the leads in each stage. This helps you understand your pipeline health.

  3. Identify bottlenecks. If many leads are stuck in one stage, that area may need attention.

  4. Click on a lead card for more details. This opens the full lead information including:

    • Contact details

    • Referrer information

    • Notes and comments

    • Interview history

    • Rating


Moving Leads Through the Pipeline

As leads progress through your hiring process, move them to the appropriate stage.

  1. Find the lead you want to move.

  2. Click and drag the lead card. Hold down your mouse button on the card.

  3. Drag it to the new bucket. Move it to the column representing their new stage.

  4. Drop the card. Release your mouse button to place the lead in the new stage.

  5. The lead's status updates automatically. The system records the stage change.

Example workflow:

  • Lead is submitted → appears in "New Lead"

  • You call them → drag to "Contacted"

  • They come for an interview → drag to "First Interview"

  • Interview goes well → drag to "Manager Approval"

  • Manager approves → drag to "Ready to Hire"

  • You complete hiring → drag to "Hired"


Adding New Buckets

If your hiring process needs additional stages:

  1. Look for "Add Bucket" in the upper right corner.

  2. Click "Add Bucket."

  3. Enter the bucket name. Choose something descriptive like "Final Interview" or "Background Check."

  4. Select a bucket color (optional). Colors help visually distinguish stages.

  5. Choose where to place the bucket in the workflow. Select its position relative to other buckets.

  6. Click "Save" or "Create." The new bucket appears in your pipeline.

  7. Drag the bucket to reposition if needed. You can rearrange the order of buckets.


Filtering the Pipeline

To focus on specific leads or criteria:

  1. Look for filter options at the top of the pipeline.

  2. Filter by office. Show only leads for a specific location.

  3. Filter by position. Show only leads applying for certain roles.

  4. Filter by date. Show leads submitted within a specific timeframe.

  5. Apply your filters. The pipeline updates to show matching leads.

  6. Reset filters when done. Return to viewing all leads.


Switching Between Pipeline Views

The pipeline may have different views for different stages of the process.

  1. Look for tabs or toggles at the top. You may see options like "Leads" and "Onboarding."

  2. Click "Leads" to see the recruiting pipeline. This shows leads from submission through hire decision.

  3. Click "Onboarding" to see the onboarding pipeline. This shows new hires moving through the onboarding process after being hired.


Viewing Lead Details from the Pipeline

  1. Click on any lead card in the pipeline.

  2. Review their full information:

    • Personal details (name, phone, email)

    • Lead source (who referred them, how they applied)

    • Current stage and history

    • Scheduled interviews

    • Notes and comments

    • Star rating

  3. Take actions from the detail view:

    • Edit lead information

    • Schedule an interview

    • Add notes

    • Rate the lead

    • Move to a different stage


Exporting Pipeline Data

To analyze your pipeline outside of Sequifi:

  1. Look for the three dots menu or export option. This is typically in the upper right area.

  2. Click "Export."

  3. Select your export preferences. You may be able to choose which data to include.

  4. Download the file. The pipeline data exports as an Excel or CSV file.

  5. Use the data for analysis. Track metrics, create reports, or share with leadership.


Hiding Buckets

If certain stages aren't relevant or you want a cleaner view:

  1. Look for the three dots menu.

  2. Find the option to show or hide buckets.

  3. Select which buckets to hide. Hidden buckets aren't deleted, just not displayed.

  4. Show them again when needed. Unhide buckets to see all stages.


Tips and Common Mistakes

  • Move leads promptly. Keep the pipeline accurate by moving leads as soon as their status changes.

  • Don't let leads sit too long. Leads stuck in early stages may lose interest. Follow up quickly.

  • Use the pipeline for daily management. Check it regularly to see what needs attention.

  • Keep buckets organized. Too many buckets can be confusing. Use only the stages you actually need.

  • Add notes as you go. When you contact a lead or complete an interview, add notes so others can see the history.

  • Review rejected leads periodically. Some rejected leads might be worth reconsidering later.

  • Filter to focus. If you manage multiple offices or positions, use filters to focus on your priorities.

  • Track your conversion rates. How many leads become hires? The pipeline helps you analyze your recruiting funnel.


Common Questions

What happens when I move a lead to "Hired"? Moving a lead to the hired stage indicates they've been selected. You'll still need to complete the actual hiring and onboarding process through the appropriate steps.

Can multiple people move leads in the pipeline? Yes, anyone with pipeline access can move leads. Be careful not to move leads others are actively working on without communicating.

What if I accidentally move a lead to the wrong bucket? Simply drag it back to the correct bucket. The pipeline is flexible and changes can be reversed easily.

How do I permanently remove a lead? You can delete leads if you have permission, or move them to a "Rejected" bucket. Check with your admin about your company's policy for removing leads.

Can I customize the bucket names? Admins can typically customize bucket names and add new stages to match your company's hiring process.

Do leads automatically move through the pipeline? No, leads stay in their current bucket until someone manually moves them. This gives you control over the process.
