Most reports have an export control, but not all: the Company report and the Worker view Office report have none. The Sales report exports Excel (.xlsx) up to 5,000 rows. The Sales Report Builder and Payroll Report Builder export CSV up to 50,000 rows. The Payroll report exports Excel from the By Pay Period view. Exports are always run by hand; you can't schedule them.
Who can do this: Anyone who can open the report, with the report's own permission (for example Reports > Sales > View in the Admin view). In the Worker view, exporting the Sales report also needs Reports > Sales > Export. An export only contains records you are allowed to see.
Where Export is on each report
Report | How to export | File |
Reports > Sales (Loans for mortgage companies) | The export icon in the top bar (tooltip Export). | Excel (.xlsx), up to 5,000 rows. |
Reports > Sales Report Builder | Choose Export visible columns or Export all columns, then Export. | CSV, up to 50,000 rows. |
Reports > Payroll, By Pay Period | The export icon. There is no export in By Worker. | Excel (.xlsx). |
Inside a pay period, and Payroll > Run-Payroll | The menu > Export, then Worker Basic, Worker Detailed, Worker All Data, Job Basic or Job Detailed. | A download. |
Reports > Payroll Report Builder | Choose Export visible columns or Export all columns, then Export. | CSV, up to 50,000 rows. |
Reports > Company | No export. | None. |
Worker view Reports > Office | No export. | None. |
Other pages also have an export or download control, including Payment Request (export on the Account advances and Repayments tabs), One-Time Payment history (Download CSV), User Management (Export), Leads (up to 10,000 rows), Personnel, Approvals and the Leaderboard.
Export a report
Open the report and set the date range, date type and filters first. The export follows them.
In the builders, pick Columns before you export if you use Export visible columns.
Select Export (or the export icon).
Wait for the file. Big Sales Report Builder exports finish in the background. You then find the file in the notification panel (the bell).
Open the file and check a few known records before you share it.
Troubleshooting
Message or problem | What to do |
"Export limit exceeded: N records found (maximum: 5000 records). Please refine your filters to reduce the dataset." | Narrow the Sales report filters, or use the Sales Report Builder (up to 50,000 rows). |
"Export is taking longer than expected." | Check the notification panel. Your file may still be on its way. |
"Export file has been archived. Click Export to regenerate." | Select Export again. |
"Export failed. Click "Export" to retry." | Select Export again. If it keeps failing, narrow the filters. |
The Export button is missing | Check the report and view. Company has no export, Payroll exports only in By Pay Period, and the Worker view Sales report needs the Export permission. |
Records are missing from the file | Check the date range, date type, saved view, search and filters. You only get records you can see. |
Totals don't match between reports | Compare the same dates, date type, people and statuses. Projected amounts, sales and executed payroll measure different things. |
Share exports safely
Exports can contain pay and customer information. Keep them where your company stores sensitive files and share them only with people who should see them.
On the mobile app
You can't export reports from the mobile app. Use a web browser.
