Approve or decline requests (managers)

Managers and super admins: find requests waiting on you, approve or decline them, and what happens after you approve.

Requests from the people you manage come to you first. Open Requests > Approvals in the Worker view, select a request's ID, and select Approve or DECLINE. Approving a payment request does not pay it: an admin still handles payment. Leave, PTO, and time-adjustment requests do not use the same payment workflow.

Who can do this: Managers (the Is Manager setting on their profile) whose permission group includes Approvals, for requests assigned to them. Super admins, for every request. Nobody can approve their own request.

Approve or decline a request

  1. If you're in the Admin view, select Worker at the top of the page. Requests are only in the Worker view.

  2. Open Requests and select Approvals. Pending Approvals shows how many requests are waiting.

  3. Use Search approvals..., the office list or the filter to find a request. The list shows ID, Employee, Type, Request Date, Amount and Reason.

  4. Select the request ID to open it. Check the details, the description and any attachment.

  5. To explain your decision or ask a question, select Add Reply, write your comment and select Post Reply.

  6. Select Approve or DECLINE. A reason isn't required.

The request then shows Approved or Declined on the worker's My Requests. Sequifi doesn't email the worker about your decision, so tell them if it matters.

Which requests you see

  • Managers see pending requests from the people assigned to them as their manager. Fine/fee requests never appear in a manager's queue.

  • Super admins see every pending request.

  • If a worker has no manager, or your company skips manager approval, their requests go to your company's admins instead.

To see requests that were already decided, select History. It adds Pay Period and Status, and you can export the list. Select Pending Approvals to go back.

What happens after you approve

An admin handles the request in the Admin view under Payroll > Payment Request. They add it to a payroll (With Payroll, which makes it Scheduled), pay it right away (Pay Now), or decline it. Until then it stays Approved. See Request statuses and what happens next.

Where new requests show up

When someone submits a request to you, you get a notification in Sequifi, and it appears in Action Items on your Home page if you can see Approvals. No email is sent.

Submit a request for someone on your team

In Requests > My Requests, select Add Request and pick the person in Employee Selection. Managers and super admins can also choose Fine/fee, which reduces the worker's pay. See Submit a request.

On the mobile app

Tap Requests, then Approvals. Tap a request to expand it, then tap Approve or Deny. There is no comment box in the app. See Mobile: track requests and approve them.

Troubleshooting

Message or problem

What it means

No Approvals under Requests

Your permission group doesn't include Approvals. Ask your admin.

No Approve or DECLINE buttons

The buttons show only while a request is Pending, and only to the manager it's assigned to or a super admin.

"You are not authorized for this action"

This is your own request. Someone else has to approve or decline it.

"Available commission for this account has changed to $X. This advance can no longer be approved at its requested amount; please decline and recreate it."

The commission available on that sale dropped after the advance was requested. Decline it and ask the worker to submit a new request for a smaller amount.

A request you expected isn't in your queue

It may be assigned to a different manager, or it was already decided. Check History, or ask your admin who the worker's manager is.
